To initiate consideration for a grade of incomplete (I), a student must contact the instructor before grades are reported. An incomplete grade indicates that a student has not completed a limited portion of the course due to extenuating, unforeseen circumstances (i.e. missing one assignment or exam due to illness or personal emergency). The decision to award a grade of incomplete is solely the decision of the instructor. Should an instructor decide to assign an incomplete grade, both the student and the instructor must complete and retain a copy of an Incomplete Grade Agreement Form. The maximum amount of time to complete coursework to remove a grade of incomplete is one year from the ending date of the semester for which the grade was assigned or graduation, whichever comes first; however, instructors may restrict the amount of time given to the student to complete the coursework. Prior to completing the Incomplete Grade Agreement, all signature parties should review the Appalachian State University Bulletin for incomplete grade policies. Incomplete is defined as when a student has done satisfactory work in a course but has failed to complete a portion of the course requirements because of documented, extenuating circumstances. The instructor submits the request for approval to the Office of Academic Affairs specifying the class assignments and exams yet to be completed. The time period to complete the coursework will not exceed beyond mid-term of the following semester. At the end of the contracted period the instructor must submit a change of grade request for the "I" with the final grade to be awarded to the Office of Academic Affairs. If the instructor has not requested a change to the "I" grade within the specified time period, or the student does not complete the assignments as stipulated, the "I" grade will be changed to the grade submitted by the instructor on the original request. The "I" grade is not used in the computation of a student’s grade point average.

The incomplete grade is not awarded automatically, and should not be used when there is no possibility the student will eventually pass the course.
