Application for Hire. (a) In all cases, application for the use of the premises shall be made to the General Manager by written application on the form provided by the Council, at least seven (7) days prior to date of booking.
(b) Tentative bookings not confirmed within at least seven (7) days prior to actual date shall be deemed cancelled.
(c) The Council may reject any application without assigning any reason therefore.
(d) Applicant must be aged 18 years or over. Bookings being identified as “high risk” are based on the type of activity and/or known history of similar activities, or any function where alcohol is being served, and may include but not limited to 18th/21st birthday parties, functions where hirer is required to provide licensed security guards and/or certified first‐aid officers. Council may notify the police of any “high risk” activity that may be booked.

The Facilities will be used solely for the activity described on the application form. All forms including insurance must be completed and paid for at the time of booking (see checklist on booking form).

The person(s) must be aged 21 years or over (Photo ID must be provided if requested) and is responsible for supervising the function. Where the hirer intends to use the Centre to provide programs/activities for people under the age of 18 years, the hirer shall provide sufficient and competent adult supervision at all times and is responsible for all participants’ behaviour.

1.3. The Woodseats Explorer Scout Unit reserves the right to refuse any application for Hire where (in its sole opinion) it deems the Hirer’s purpose for hiring unsuitable or inappropriate for the Unit.

3.2 By submitting the application form, the Hirer agrees to ensure compliance with these terms and conditions of use and any other relevant user guides for the facility.
3.3 Council will assess any application in line with the priorities and mandatory criteria outlined in the Community Facilities Management Policy. If the request for hire does not align with this Policy, Council may at its discretion refuse the booking.
