Common use of Data Submission and Error Correction Clause in Contracts

Data Submission and Error Correction. The Contractor shall collect and provide Great Rivers with all data described in the HCA “Service Encounter Reporting Instructions (SERI)” and the “Data Dictionary.” Encounters must be submitted as described in the Great Rivers policies, or, by any successor. 13.2.1. The Contractor shall enter or file import into the Avatar system all required data within ten (10) days of the date the service was provided. 13.2.2. The Contractor shall have in place documented policies and procedures to assure that data submitted and rejected due to errors are corrected and resubmitted within ten (10) calendar days of when the error report was produced. 13.2.3. The Contractor shall attend meetings and respond to inquiries to assist in Great Rivers decisions about changes to data collection and information systems to meet the terms of this Agreement. 13.2.4. The Contractor shall implement changes documented in the DBHR SERI, the “Data Dictionary,” the DBHR “Encounter Data Reporting Guide”, and the Great Rivers Encounter Reporting Instructions, and the Great Rivers Data Dictionary within ninety (90) days of the date published. 13.2.5. The Contractor shall respond to requests from Great Rivers for information not covered by the data dictionary in a timeframe determined by Great Rivers. 13.2.6. No encounter transaction will be accepted for initial entry or data correction after one year from the date of service, except by special exception. 13.2.7. The Contractor shall be required to maintain National Provider Identification (NPI) numbers for agency and individuals providing services. 13.2.8. The Contractor shall designate one IS contact who will be responsible for communications regarding upgrades and changes to the MIS. 13.2.9. The Contractor shall participate in Washington State Consortium meetings, trainings, and workgroups.
