TRAVEL BOOKING. Where applicable simple point to point domestic and international business travel (including hotel and rental car reservations) shall be booked with Syngenta online booking tools. Access to these online booking tools can be found on TravelNet. All complex domestic and interna- tional business travel (circle trips with multiple destinations) shall be booked by the local “Travel Agency”. Due to reporting and security reasons (traveller tracking) no other booking method shall be used. Early planning of travel arrangements is crucial to secure availability and to obtain the most favourable rates. Airlines always release seats for best rates several months before the date of the trip. • As a standard rule, all air travel shall be booked at the earliest possible date. • As an exception, long distance travel (more than 5 hours flying time on a single flight) shall be booked no later than 4 weeks prior to the departure date, short distance travel shall be booked no later than 2 weeks prior to the departure date • Travel booking any later than 4 weeks (long haul) or 2 weeks (short haul) shall only be authorized on an exceptional basis. The Syngenta “Travel Agency” will: • Liaise with travel agencies, airlines and transport companies; • Obtain travel documents (tickets, excess baggage vouchers, etc.); • Reserve hotel accommodation (along with local Syngenta subsidiaries/partners); • Book car rentals at destinations; • Provide support to obtain visas and information on vaccination requirements.
