Utility Coordination and Relocation. The Requestor is responsible for planning and coordinating construction around utilities to mitigate the need to relocate existing facilities, including determining the location of existing utilities and designing the Improvements to minimize relocation (utility coordination). The Requestor is responsible for the costs associated with the utility coordination process and the relocation of utilities necessitated by construction of the Improvements. The City is not responsible for costs associated with utility coordination and relocation required for construction of the Improvements.
Utility Coordination and Relocation. 4.7.1 The County shall provide the Illinois Tollway, as soon as they are identified, the locations (existing and proposed) of public and/or private utility facilities within existing Party rights-of-way which may require adjustment as part of the Project. As part of its Project engineering responsibilities, the County shall identify locations for possible adjustments to the aforementioned existing utilities.
4.7.2 The County shall make arrangements for any necessary adjustments to existing utilities and municipal infrastructure located within the existing Project rights-of-way, and on proposed Project rights-of-way where improvements to highways are proposed to be done in conjunction with the Project, as part of the final design effort in accordance with the appropriate jurisdictional requirements. The County shall keep the Illinois Tollway apprised of the status of utility relocation during the course of the Project’s design and construction phases and shall coordinate as necessary with respect to utility adjustment work involving roadways that will be under Illinois Tollway jurisdiction.
4.7.3 The County shall be the lead agency for utility coordination, investigations, relocations and associated work orders. The County will ensure that the necessary documents are submitted to the Illinois Tollway for the respective Utility Permit as needed. If there are locations where utilities are located on an existing easement and if said utilities are eligible for reimbursement for any adjustments or relocations caused by the Project, either the County or the Illinois Tollway shall be responsible for financing said utility reimbursement costs in accordance with Section 5.4
Utility Coordination and Relocation. 4.5.1 The County shall be the lead agency for utility coordination and relocations. The County will ensure that the necessary documents are submitted to the Illinois Tollway for the respective Utility Permit(s) as needed. If there are locations where utilities are not located on existing County or local public right of way and if said utilities are eligible for Intergovernmental Agreement County Line Road I-294 Ramp to North Avenue Section: 16-W7331-00-RP Federal Project No. V02M(043) reimbursement for any adjustments or relocations caused by the Project, the County shall be responsible for financing said utility reimbursement costs subject to reimbursement from federal and Illinois Tollway funding sources.
Utility Coordination and Relocation. Consultant shall perform utility coordination and liaison activities with utility owners/operators for the Project. Draft and send project information notices at the start of the project to franchise utilities in the project area as identified through the Oregon Utility Notification Center. These notices will also request mapping of existing facilities from each utility. Received mapping will be reviewed against topographic survey of locate marks for consistency with franchise utility mapping. Coordinate and host a franchise utility kickoff meeting. Identify horizontal and vertical conflicts with the proposed designs at each milestone deliverable. Prepare a conflict analysis spreadsheet and exhibits to identify and track each conflict through to elimination or resolution. Draft and send relocation conflict notices to franchise utility owners with identified conflicts. Review relocation plans, provided by the utility owners, to confirm conflicts are addressed and new conflicts are not created. Provide response and disposition to relocation plans and issue time requirements letters. Coordinate and host virtual weekly franchise utility coordination meetings beginning after the 90% design conflict notice. Coordination meeting will focus on relocation construction and sequencing. Communication with franchise utilities will be tracked with a communications log. • Franchise utility kickoff meeting will be offered as a hybrid meeting; in-person at Consultant’s office and virtually via Microsoft Teams. • Up to three staff will attend the kickoff meeting which will have an estimated duration of up to two hours. • Three staff will attend up to eight weekly franchise utility coordination meetings each with an estimated duration of up to one hour. • Project Information Notices to be sent, via email, within ten business days of the commencement of contract. • Franchise utility kickoff meeting will be held within 20 business days of the Project Information Notice delivery. Agenda will be sent at least two business days prior to the meeting. Minutes will be sent within two business days of the meeting. • Conflict notices and updates to be sent within 15 business days after the 30% and 90% milestones. • Responses to relocation plans from franchise utilities within ten business days of receipt. • Time Requirement Letters will be issued within ten business days of receipt of acceptable relocation plans and schedule and prior to the 100% plan deliverable. • Communications log...
