Vehicle Reservations. Rental vehicle reservations shall be made directly through Comptroller contracted vendors. The rental of a vehicle is normally approved if the rental costs less than a taxi or personal vehicle. Reimbursement is limited to the charges associated with official business. Expenses for rental vehicles are not reimbursed if rented primarily for personal convenience. Review the Comptroller’s General Rental Car Contract Information for safety tips, rates, insurance coverage, and other helpful information. Reimbursable vehicle expenses include: • Fuel; • Toll charges; • Parking fees; • Sales tax on rental vehicles; • Airport concession fees; and • Insurance for an additional driver, only if needed for business reasons. The traveler shall refuel the rental vehicle to the level when picked up before returning it to the vendor. Receipts for rental cars and gas used in rental cars shall be submitted with the Travel Claim. Reimbursement requests for toll charges shall include the cost per route and for parking shall include the cost for each event (such as the daily rate to park at an airport or hotel).
Vehicle Reservations. UW Health employees are not authorized to use University of Wisconsin-Madison (UW) Transportation Services (UW Fleet) vehicles. All requests for in-State non-overnight use of vehicle reservations must be sent through the UW Health Facilities and Engineering Services- Transportation web site. If the trip requires the traveler to stay overnight, then a rental vehicle may be obtained by following the UW Health Travel & Reimbursement Policy 1.14.
1. Out-of-State Auto Rental: When making out of State travel arrangements for rental cars, follow the instructions found in the UW Health Administrative Policy 1.14-Travel & Reimbursement Policy.
2. Local/In-State Single Day Usage: UW Health fleet vehicles will be used first to meet these requests. All requests for in- State vehicle reservations must begin with a request submitted to UW Health Facilities and Engineering Services-Transportation via the intranet site on U-Connect. If a UW Health fleet car is not available, use of a rental vehicle is an option. To obtain a rental vehicle, follow the Care Rental Booking Guidelines found in UW Health Travel & Reimbursement Policy 1.14.
3. Local/In-State Overnight Usage: UW Health fleet vehicles shall not be used for overnight travel. If a company owned or leased vehicle is assigned to a specific department or individual, overnight usage is allowed.
