A copy of the Oral Warning will be filed in the Supervisor File if one is maintained.
For purposes of clarity the content of an Oral Warning shall be summarized in writing by the Employer to the employee.
The employee shall be notified that the discussion is an Oral Warning in accordance with this clause of the Collective Agreement.
An Oral Warning is documentation, confirmed in writing, that behavior or performance is inappropriate, and the employee was notified.
In exceptional cases (for example, where there are lengthy periods of time between Appointments), the University may remove the Oral Warning before the employee has completed four (4) months of actual work.
An Oral Warning shall expire and the written summary removed from the employee's employment file six (6) months after its date of issuance unless in that period of time further disciplinary action has been taken.
The discussion should include the following: - Clear statement communicating that this is an Oral Warning - Reasons why the performance or behavior does not meet expectations.
In the Oral Warning discussion, the employee shall be advised of the area(s) of concern and of the remedial action expected.
Oral Warning: When unsatisfactory performance/behavior is recognized, the supervisor addresses the employee as soon as possible.
When the Letter of Warning either expires or the Employer determines that a continuance of the Letter is no longer required, the employee will be so notified in writing and the Letter and the summary of any earlier Oral Warning [Clause 9.1(a)] shall be removed from his/her file.
