The Managed Print Services clause defines the terms under which a provider will supply, maintain, and manage printing equipment and related services for a client. Typically, this includes the provision of printers, copiers, consumables like toner and paper, ongoing maintenance, and technical support, often for a fixed monthly fee or based on usage. By clearly outlining responsibilities and service levels, this clause ensures reliable access to printing resources while minimizing downtime and administrative burden for the client.
Managed Print Services a) The main components of an MPS engagement are needs assessment, selective or general replacement of Devices, and the Service, parts and Supplies needed to operate the new and/or existing Devices, including existing Third Party Equipment as owned by the Purchasing Entity. The Awarded Vendor(s) track how the Equipment fleet is being used, the problems associated with that use, and customer satisfaction in regards to meeting statement of work objectives.
b) In addition to the ongoing monitoring and management of a fleet of Devices, Awarded Vendor(s) must also offer project implementation Services, and customer help-desk support and training.
c) Awarded Vendor(s) may also offer hourly Services for consulting purposes, project management, change management plans, and other staffed Services which meet customer needs such as to operate copy centers or complete back file scanning projects.
d) MPS may also include enterprise content management Services and workflow optimization components, such as scanning and document capture solutions, developing custom applications for smart MFDs that automate paper-intensive document workflows and route scanned pages to document management systems. It can also be extended to include the restructuring of document workflows. Some MPS engagements may be designed to improve document security or to reduce print volumes and power consumption for environmental reasons.
e) All MPS engagements shall require the Awarded Vendor and Purchasing Entity to complete a detailed statement of work, similar to the format referenced in Exhibit F (MPS Statement of Work), and it must be approved by both parties prior to the initiation of any engagement.
f) Any MPS engagement shall include the following:
i) Free Initial Assessment (includes, but is not limited to: document workflow; identification of Service, Supplies, and parts; current output; total cost of ownership; employee to Device ratio; preliminary estimated cost savings);
ii) Implementation (e.g. plan development; hardware and software installation and set-up);
iii) Remote Device Monitoring (e.g. job accounting; automated meter reads; automated toner replenishment);
iv) End-user Support (e.g. training; Help Desk); and
v) Account management (e.g. reporting; invoicing; customer business reviews).
g) The MPS engagement may include, but is not limited to, the following:

Managed Print Services. 3.5.1. Optimal range of Equipment
3.5.1.1. The Supplier shall continually provide solutions which determine the most suitable and optimal range of Equipment across the Contracting Authorities’ Print Environment including both new and Legacy Equipment. In addition, the Supplier shall ensure that Users continually benefit from a consistent User interface and functionality across the Contracting Authorities’ organisation.
3.5.1.2. The Supplier shall ensure at all times that the range of Equipment proposed remains in line with the Contracting Authorities’ print strategy specified at the outset of the Call Off Contract.
3.5.1.3. The Supplier shall ensure that the range of Equipment proposed accommodates Contracting Authorities’ changing business environments throughout the duration of the Call Off Contract.
3.5.1.4. The Supplier shall adapt to changes which may occur as a result of the Call Off Contract being scaled up or down to reflect the organisation at particular points in time, examples of this may be a change in the number of Contracting Authorities’ Users, changes in locations and/ or changes in the nature of work activities. 3.5.1.5. The Supplier shall ensure that the range of Equipment proposed provides an acceptable User per Device ratio of twenty (20) Users per a single Device is agreed as a minimum, unless otherwise specified by Contracting Authorities at Call Off stage. The Supplier shall ensure this ratio is redefined, to reflect the individual and bespoke requirements of the Service specified by Contracting Authorities at Call Off stage.
3.5.1.6. The Supplier shall ensure at all times that the range of Equipment proposed supports Contracting Authorities controlling any inefficiencies identified associated with printed documents through reductions in energy consumption, waste consumables and paper usage.

Managed Print Services. The State’s Agency of Digital Services is the only entity authorized to place orders for Managed Print Services on behalf of State Purchasers. (Additional Purchasers are not subject to this requirement). Orders placed from any other source shall not be binding against the State, or the State Purchaser. Contractor can verify orders for State Purchasers by contacting ▇▇▇.▇▇▇▇▇▇▇▇▇▇▇▇@▇▇▇▇▇▇▇.▇▇▇. Contractor agrees that it will not accept or fulfill orders placed on behalf of State Purchasers from any other source. Managed Print Services. “MPS”): Contractor(s) may not provide MPS maintenance or repair Services on any Devices that are being leased or rented to a Purchasing Entity by another Manufacturer, unless they have a written agreement with the Manufacturer to do so.

Contractor may not provide MPS maintenance or repair service on any Devices that are being straight leased or rented to a Purchasing Entity by another Manufacturer unless they have written agreement with the Manufacturer to do so.
