Record Keeping and Audit Requirements. 18.1 Consultant shall keep such full and detailed accounting records as are necessary for proper financial management of the Project. Consultant shall maintain a complete and current set of all books and records relating to the construction of the Project. District shall be entitled, upon forty-eight (48) hour written notice, to inspect all books, records, and accounts kept by Consultant relating to the work contemplated by this Contract. Within 90 calendar days after Final Completion, Consultant shall deliver to District those records necessary for District to perform a financial audit of the Project ("Final Audit"). 18.2 Invoice and progress/final reports and all required audit reports shall be submitted to District in a timely manner. 18.3 Maintain adequate fiscal and Project books, records, documents, and other evidence pertinent to Consultant’s work on the Project in accordance with generally accepted accounting principles. Adequate supporting documentation shall be maintained in such detail so as to permit tracing transactions from the invoices, to the financial statement, to the accounting records, and to the supporting documentation. These records shall be maintained for a period of three years after Final Completion of the Project, and shall be subject to examination and/or audit by District or designees, state government auditors or designees. 18.4 Make such books, records, supporting documentations, and other evidence available to District or designees, their designated representatives, during the course of the Project and for a period of three years after Final Completion of the Project, and provide suitable facilities for access, monitoring, inspection, and copying thereof.
