Common use of Rental Vehicle Reimbursement Clause in Contracts

Rental Vehicle Reimbursement. Travelers must rent the lowest class size car available (economy, intermediate, standard, full- sized) to accommodate the number of staff traveling and the equipment or materials being transported. If the Firm is required to obtain an upgraded vehicle because the lowest class is not available, an explanation must be included on the Firm’s invoice. The Firm is prohibited from requesting luxury or premium rental vehicles. If the Firm chooses to obtain an upgraded vehicle, the Firm must provide documentation of the cost of the lowest class size car available, so that Citizens can reduce the cost accordingly. If documentation of the cost of the lowest class size is not provided, then Citizens will research the cost for the lowest class size and reduce the Firm’s expense entry in accord with the current cost for same. Extra items, such as GPS and rental insurance, will not be reimbursed. Citizens will reimburse the Firm for fuel used in the rental vehicle as long as it is purchased prior to the vehicle’s return. Any charges by the auto rental agency for gasoline will not be reimbursed.
