By Non-Bargaining Unit Members. All requests to review the personnel files and records of employees covered by this Agreement by members of the public shall be processed as follows: a) The Human Resources Department will request that the person requesting to review the records provide their name and address; b) If possible before the information is released, the Bargaining Unit members will be notified in writing, and if reasonably feasible, by a telephone call, that a request has been made to review their personnel files; c) Before releasing the file and/or records to be reviewed, the Human Resources Department will endeavor to review the personnel file/records with the Law Director’s office within twenty-four hours of the request in order to ensure that the records contain no confidential material; d) A city employee will remain with the personnel file/record while they are being reviewed pursuant to public records request so that no information can be added, removed or modified. e) The Bargaining Unit member will be notified when a request is made for copies of any records or documents from his or her personnel file and will be provided upon request with copies of any documents which are provided pursuant to the records request.
