Correspondence and Information. ‌ 13.1 Except where otherwise specified in this Agreement, correspondence between the Association and the University arising out of this Agreement, or incidental thereto, shall pass between the Xxxxxxx and the President of the Association, or their designates. Such correspondence may either be delivered directly in paper or electronic form, or forwarded through the University’s internal mail service. Correspondence to the Association shall be copied to the Executive Officer or designate. 13.2 The University shall provide the Association with the following information in a mutually agreed- upon paper or electronic format: a) by the end of the calendar year, an annual list of all Members containing their names, date of hire, categories of appointment, ranks, years of appointment to current rank, birth dates, University addresses, genders, salaries, stipends, Departments, highest degrees obtained, and years of highest degree; b) by the end of each semester, a list of the names of all Members whose employment has been terminated, the dates of such terminations and the categories of terminations, such as, but not limited to dismissal, expiration of contract, death, resignation, or retirement; c) no later than thirty (30) days following the appointment of a new Member, a list containing the name, category of appointment, rank, salary, birthdate, gender, Department, DOE, and University address of such Member; d) by July 1st of each year, an annual list of the names and new ranks of Members who have received Tenure and/or Promotion and the effective dates of such Tenures/Promotions; e) by the end of the calendar year, an annual list of all Members who are on Leave during the present Academic Year and the type of Leave they are on; f) by February 1st, an annual list of all credit courses taught by Members and non-Members for the preceding Academic Year, with the following information identified: course number, semester of the class, name of the instructor(s), number of students in the class; and g) within ten (10) days of posting, copies of advertisements for external searches. h) Copies of position descriptions shall be provided to the Association upon written request. i) Copies of all health benefit contracts shall be provided to the Association upon written request. j) Benefit usage rates shall be provided to the Association no more than once per year upon written request. k) No later than February 15 of each year the University shall provide the Association with a list of Departments/Schools that have confirmed distribution of final teaching schedules (per Article 18.20)

This requirement may be satisfied by publication of the following information on a University website to which the Association has access: a) when they have been approved by the Board, the University’s annual audited financial statement and semesterly reports of the University, including all appendices, supplements and ancillary documents; b) a copy of the approved University budget; c) when they are distributed to Board members, notice, agenda, and accompanying exhibits for public sessions of the meeting of the Board of Governors, and after approval by the Board, minutes of the previous meeting; d) at the time of distribution, notice of meeting, agenda, and a copy of the public minutes of the Senate; e) at the time of election or appointment, the names and University addresses, if any, of all persons appointed or elected to positions on the Board of Governors and the Senate, together with the names of all persons appointed or elected to the Board of Governors or Senate committees, with any terms of reference for those committees; and f) such other information as may be set out elsewhere in this Agreement. 13.4 The Association agrees to provide the University with the following information: a) a list of Departments/Schools all persons authorized to represent the Association to the University, updated within one week of any change; b) a list of the officers and other members of the Executive Committee of the Association, within one month of such membership being established; c) a copy of each Association newsletter or bulletin, at the time of issuance to Members; d) a copy of the current Constitution and By-laws of the Association, as amended from time to time; and e) such other information as may be set out elsewhere in this Agreement. This information may be provided in whole or in part by publication on the Association’s public website. 13.5 It is agreed that have confirmed distribution of final teaching schedules (per Article 18.20)there may be additional information needs identified between the Parties. Such additional needs will be discussed through Joint Committee, and the Parties will attempt to mutually agree on what information is required and the dates on which such information might be provided. 13.6 Unless otherwise provided for by this Agreement, the University’s internal mail shall be deemed adequate for correspondence between the Association and the University.

(j) two (2) copies of the latest University budget and budget reports when released to the Board; (k) notice of meetings, agenda and a copy of the public minutes of the Board at the time of distribution; (l) notice of meetings, agenda and a copy of the public minutes of the Senate at the time of distribution; (m) the names and University addresses, if any, of all credit courses taught by Members persons appointed or elected to positions on the Board and non-Members for the preceding Academic YearSenate, together with the names of persons appointed or elected to Board or Senate committees with any terms of reference of those committees at the time of their election or appointment; (n) such other information as may be set out elsewhere in this Agreement that is required to be given. 11.3 The Association agrees to provide the University with the following information identified: course number, semester information: (a) a copy of each QUFACTS and QUFACTS Bulletin; (b) an up-to-date copy of the class, name Constitution and Bylaws of the instructor(sAssociation; (c) an up-to-date list of the Executive Committee of the Association and all other standing committees of the Executive; (d) such other information as may be set out elsewhere in this Agreement that is required to be given; (e) notice, agenda and approved minutes of the Association’s General Meetings (regular and special), number of students in the class; and g) within ten (10) days of posting, copies of advertisements for external searches. h) Copies of position descriptions 11.4 Unless otherwise provided by this Agreement, the University’s internal mail shall be provided to deemed adequate for correspondence between the Association upon written request. i) Copies of all health benefit contracts and the University. All communications required by Articles 15 and 20 shall be provided to the Association upon written request. j) Benefit usage rates shall be provided to the Association no more than once per year upon written request. k) No later than February 15 delivered by receipted, registered Canada Post, University campus delivery, or other personal delivery for which signed acknowledgement of each year the University shall provide the Association with a list of Departments/Schools that have confirmed distribution of final teaching schedules (per Article 18.20)receipt has been received. Such additional needs will be discussed through Joint Committee, and the Parties will attempt to mutually agree on what information is required and the dates on which such information might be provided. 13.6 Unless otherwise provided for by this Agreement, the University’s internal mail shall be deemed adequate for correspondence between the Association and the University.

Correspondence and Information. 13.1 6.1 Except where otherwise specified in this Agreement, correspondence between the Association and the University arising out of this Agreement, Agreement or incidental thereto, to it shall pass between the Xxxxxxx President and the President of the AssociationPrincipal, or their designates. Such correspondence may either be delivered directly in paper or electronic form, or forwarded through the University’s internal mail service. Correspondence to the Association shall be copied to the Executive Officer or designate. 13.2 6.2 The University shall provide the Association with the following information in a mutually agreed- upon paper or electronic formatno later than January 15, May 15, July 15, and September 15 each year (unless otherwise stipulated below) for the duration of this Agreement: (a) by the end of the calendar yearFor all Members (except Term Adjuncts), an annual electronic list of all Members containing their namesthe name, employee ID number, appointment, rank, date of hire, categories of appointment, ranks, years of appointment to current each rank, birth date, gender, Unit(s); Faculty, University e-mail address, FTE and nominal and actual salary. For Term Adjuncts, an electronic list containing the name, employee ID number, title, rank, contract start and end dates, University addressesgender, gendersUnit(s), salariesFaculty, stipendse-mail address, Departmentsremuneration for each course, highest degrees obtainedidentification of course(s) and proportion of course(s) taught, remuneration for and identification of additional duties, Years of Teaching Experience, and years Right of highest degreeRenewal/Reappointment status. The lists required by Article 6.2(a) shall be supplemented with the names and information of any additional Members and details of any revisions to appointments, including assignment of additional duties, for Members, as soon as practicable after such appointments or revisions are made; (b) by the end Years of each semester, a list experience (YOE) as of the names preceding July 1 for all Members (except Adjuncts), provided once per year no later than September 15; (c) An electronic list of all Members whose employment has been terminated, the dates date of such terminations terminations, and the categories of terminationstermination, such as, but not limited to dismissal, as expiration of contract, death, resignation, or retirementresignation and dismissal; c) no later than thirty (30) days following the appointment of a new Member, a list containing the name, category of appointment, rank, salary, birthdate, gender, Department, DOE, and University address of such Member; d) by July 1st of each year, an annual An electronic list of the names and new ranks of Members who have received Tenure and/or Promotion promotions, and the effective dates of such Tenures/Promotionspromotions; (e) by the end of the calendar year, an annual An electronic list of all Members who are on Leave during granted leave for the present Academic Year or part thereof and the type of Leave they are on;leave granted; and (f) by February 1stCommencing September 15, 2012, an annual electronic list of all credit courses taught by Members and non-Members for the preceding Academic Year, with the following information identified: course number, semester on Long- Term Disability as of the class, name of date the instructor(s), number of students in the class; and g) within ten (10) days of posting, copies of advertisements for external searcheslist is produced. h) Copies of position descriptions shall be provided to the Association upon written request. i) Copies of all health benefit contracts shall be provided to the Association upon written request. j) Benefit usage rates shall be provided to the Association no more than once per year upon written request. k) No later than February 15 of each year the 6.3 The University shall provide the Association with a the following information: (a) Approved minutes of the Pension Committee, the audited and other reports concerning the pension and benefit plans, and two (2) copies of the current plan and any amendments to the plan; (b) The materials provided quarterly to the Board that track the University’s financial position throughout the year; (c) Two (2) copies of the annual audited financial statements of the University when approved by the Board; (d) Timely disclosure of the existence and scope of any Faculty-wide, Library- wide, Archive-wide, or University-wide planning activities which (i) have direct financial impact on the Members; or (ii) otherwise substantially impact on the terms and conditions of employment of the Members; (e) Two (2) copies of the latest University budget and budget reports when released to the Board; (f) Such other information as may be set out elsewhere in this Agreement that is required to be given. 6.3 The University shall provide the Association with the following information: (a) The materials provided quarterly to the Board that track the University’s financial position throughout the year; (b) Two (2) copies of the annual audited financial statements of the University when approved by the Board; (c) Timely disclosure of the existence and scope of any Faculty-wide, Library-wide, Archive-wide, or University-wide planning activities which (i) have direct financial impact on the Members; or (ii) otherwise substantially impact on the terms and conditions of employment of the Members; (d) Two (2) copies of the latest University budget and budget reports when released to the Board; (e) Such other information as may be set out elsewhere in this Agreement that is required to be given. 6.4 The Association agrees to provide the University with the following information: (a) A copy of any Association communication bulletin for Members when and in the same format as it is distributed to Members; (b) An up-to-date copy of the Constitution and By-laws of the Association for Members; (c) An up-to-date list of Departments/Schools the Executive Committee of the Association and all other standing committees of the Executive pertaining to this Bargaining Unit after changes to the composition of those committees; (d) Notice and Agenda of the Association’s General Meetings (regular and special) when and in the same format as they are distributed to Members, and Minutes of those meetings after approval; (e) Such other information as may be set out elsewhere in this Agreement that is required to be given. 6.5 Unless otherwise provided by this Agreement, the University’s internal mail shall be deemed adequate for correspondence between the Association and the University. All communications required by Article 19 and Article 20 shall be delivered during business hours in a manner that permits acknowledgment of receipt if requested or if required by this Agreement. Any email delivered outside of business hours shall be deemed to have confirmed distribution been delivered at 8:30 a.m. on the next business day. The Parties agree to provide acknowledgment of final teaching schedules receipt within forty-eight (per Article 18.20)48) hours of receipt of such communications.
