Correspondence and Information. 6.1 Except where otherwise specified in this Agreement, correspondence between the Association and the University arising out of this Agreement or incidental to it shall pass between the President and the Principal, or their designates. 6.2 The University shall provide the Association with the following information no later than January 15, May 15, July 15, and September 15 each year (unless otherwise stipulated below) for the duration of this Agreement: (a) For all Members (except Term Adjuncts), an electronic list containing the name, employee ID number, appointment, rank, date of appointment to each rank, birth date, gender, Unit(s); Faculty, University e-mail address, FTE and nominal and actual salary. For Term Adjuncts, an electronic list containing the name, employee ID number, title, rank, contract start and end dates, gender, Unit(s), Faculty, e-mail address, remuneration for each course, identification of course(s) and proportion of course(s) taught, remuneration for and identification of additional duties, Years of Teaching Experience, and Right of Renewal/Reappointment status. The lists required by Article 6.2(a) shall be supplemented with the names and information of any additional Members and details of any revisions to appointments, including assignment of additional duties, for Members, as soon as practicable after such appointments or revisions are made; (b) Years of experience (YOE) as of the preceding July 1 for all Members (except Adjuncts), provided once per year no later than September 15; (c) An electronic list of all Members whose employment has been terminated, the date of terminations, and the categories of termination, such as expiration of contract, death, resignation and dismissal; (d) An electronic list of the names and new ranks of Members who have received promotions, and the effective dates of such promotions; (e) An electronic list of all Members granted leave for the present Academic Year or part thereof and the type of leave granted; and (f) Commencing September 15, 2012, an electronic list of all Members on Long- Term Disability as of the date the list is produced. 6.3 The University shall provide the Association with the following information: (a) Approved minutes of the Pension Committee, the audited and other reports concerning the pension and benefit plans, and two (2) copies of the current plan and any amendments to the plan; (b) The materials provided quarterly to the Board that track the University’s financial position throughout the year; (c) Two (2) copies of the annual audited financial statements of the University when approved by the Board; (d) Timely disclosure of the existence and scope of any Faculty-wide, Library- wide, Archive-wide, or University-wide planning activities which (i) have direct financial impact on the Members; or (ii) otherwise substantially impact on the terms and conditions of employment of the Members; (e) Two (2) copies of the latest University budget and budget reports when released to the Board; (f) Such other information as may be set out elsewhere in this Agreement that is required to be given. 6.3 The University shall provide the Association with the following information: (a) The materials provided quarterly to the Board that track the University’s financial position throughout the year; (b) Two (2) copies of the annual audited financial statements of the University when approved by the Board; (c) Timely disclosure of the existence and scope of any Faculty-wide, Library-wide, Archive-wide, or University-wide planning activities which (i) have direct financial impact on the Members; or (ii) otherwise substantially impact on the terms and conditions of employment of the Members; (d) Two (2) copies of the latest University budget and budget reports when released to the Board; (e) Such other information as may be set out elsewhere in this Agreement that is required to be given. 6.4 The Association agrees to provide the University with the following information: (a) A copy of any Association communication bulletin for Members when and in the same format as it is distributed to Members; (b) An up-to-date copy of the Constitution and By-laws of the Association for Members; (c) An up-to-date list of the Executive Committee of the Association and all other standing committees of the Executive pertaining to this Bargaining Unit after changes to the composition of those committees; (d) Notice and Agenda of the Association’s General Meetings (regular and special) when and in the same format as they are distributed to Members, and Minutes of those meetings after approval; (e) Such other information as may be set out elsewhere in this Agreement that is required to be given. 6.5 Unless otherwise provided by this Agreement, the University’s internal mail shall be deemed adequate for correspondence between the Association and the University. All communications required by Article 19 and Article 20 shall be delivered during business hours in a manner that permits acknowledgment of receipt if requested or if required by this Agreement. Any email delivered outside of business hours shall be deemed to have been delivered at 8:30 a.m. on the next business day. The Parties agree to provide acknowledgment of receipt within forty-eight (48) hours of receipt of such communications.

(2ii) copies teaching Online Learning courses, a list giving the Member’s name, Online Learning course number(s), and enrolment in each Online Learning course no later than fifteen (15) days after the official count date in each term; (iii) in the Faculty of Music who are compensated at an hourly rate of pay, no later than thirty-five (35) days after the first day of each term, the Member’s category under 13.9.3; (iv) providing field supervision in the Faculty of Education, a summary of the current plan total number of schools and any amendments students each Member is responsible for supervising, no later than thirty-five (35) days after the first day of each term; (v) in the case of an appointment or amendment to an appointment, taking effect after the planbeginning of an academic term, the University shall provide the above list of information for CAS Members in addendum report(s), as necessary, within ten (10) days of the previous report; (b) The materials provided quarterly for Part-Time Professional Librarians: (i) no later than thirty-five (35) days after the first day of each academic year (September 1), the name, category of appointment, date of appointment to the Board that track current contract, the term of the contract, number of years and months employed by the University’s financial position throughout , birth date, address, e-mail address, telephone number, salary, sex, department, highest degree, year of highest degree, year of first degree, and University I.D. number of each Member; (ii) in the case of an appointment commencing after the beginning of the academic year, within thirty-five (35) days of the commencement of the appointment, the University shall provide the above list of information for part-time librarians; (iii) the names of all Members whose employment has been terminated due to death, resignation, retirement, severance or dismissal, within thirty (30) days of termination; (c) Two (2) copies of the annual audited financial statements of the University when approved by the Board; (d) Timely disclosure of the existence and scope of any Faculty-wide, Library- wide, Archive-wide, or University-wide planning activities whichfor all Members: (i) have direct financial impact on the Members; (b) An an up-to-date copy of the Constitution and By-laws of the Association for MembersAssociation; (c) An an up-to-date list of the Executive Committee executive of the Association and all other standing committees of the Executive pertaining to this Bargaining Unit after changes to the composition of those committeesAssociation; (d) Notice and Agenda of the Association’s General Meetings (regular and special) when and in the same format as they are distributed to Members, and Minutes of those meetings after approval; (e) Such such other information as may be set out elsewhere in this Agreement that is required to be given. 6.5 Unless otherwise provided by this Agreement, the University’s internal mail shall be deemed adequate for correspondence between the Association and the University. All communications required by Article 19 and Article 20 shall be delivered during business hours in a manner that permits acknowledgment of receipt if requested or if required by this Agreement. Any email delivered outside of business hours shall be deemed to have been delivered at 8:30 a.m. on the next business day. The Parties agree to provide acknowledgment of receipt within forty-eight (48) hours of receipt of such communications.

Correspondence and Information. 6.1 Except where otherwise specified in this Agreement, correspondence between the Association and the University arising out of this Agreement or incidental to it thereto shall pass between the President and the PrincipalPresident of the Association, or their designates. 6.2 The University shall provide Where written notice to the Association with or the following information no later than January 15University is specified in the Agreement, May 15the University internal mail will be deemed adequate means. For Term Adjuncts, an electronic list containing the name, employee ID number, title, rank, contract start and end dates, gender, Unit(s), Faculty, e-mail address, remuneration for each course, identification of course(s) and proportion of course(s) taught, remuneration for and identification of additional duties, Years of Teaching Experience, and Right of Renewal/Reappointment status. The lists required by Article 6.2(a) shall be supplemented with the names and information of any additional Members and details of any revisions to appointments, including assignment of additional duties, for Members, as soon as practicable after such appointments or revisions are made; (b) Years of experience (YOE) as of the preceding July 1 for all Members (except Adjuncts), provided once per year no later than September 15; (c) An electronic list of all Members whose employment has been terminated, the date of terminations, and the categories of termination, such as expiration of contract, death, resignation and dismissal; (d) An electronic list of the names and new ranks of Members who have received promotions, and the effective dates of such promotions; (e) An electronic list of all Members granted leave for the present Academic Year or part thereof and the type of leave granted; and (f) Commencing September 15, 2012, an electronic list of all Members on Long- Term Disability as of the date the list is produced. 6.3 The University shall provide the Association with the following information: (a) Approved minutes for CTF Members: (i) no later than 35 days after the first day of each academic term, a list containing the name, category of appointment, the term of the Pension Committeecontract, seniority status and seniority points, the audited and other reports concerning number of terms employed by the pension and benefit plansUniversity, birth date, address, email address, telephone number, salary, sex, department, highest degree, year of highest degree, year of first degree, and two University ID number of each Member; (2ii) copies teaching Online Learning courses, a list giving the Member’s name, Online Learning course number(s), and enrolment in each Online Learning course no later than 15 days after the official count date in each term; (iii) in the Faculty of Music who are compensated at an hourly rate of pay, no later than 35 days after the first day of each term, the Member’s category under 13.10.3; (iv) providing field supervision in the Faculty of Education, a summary of the current plan total number of schools and any amendments students each Member is responsible for supervising, no later than 35 days after the first day of each term; (v) in the case of an appointment or amendment to an appointment, taking effect after the planbeginning of an academic term, the University shall provide the above list of information for CTF Members in addendum report(s), as necessary, within 10 days of the previous report; (b) The materials provided quarterly for Part-Time Professional Librarians: (i) no later than 35 days after the first day of each academic year (September 1), the name, category of appointment, date of appointment to the Board that track current contract, the term of the contract, number of years and months employed by the University’s financial position throughout , birth date, address, email address, telephone number, salary, sex, department, highest degree, year of highest degree, year of first degree, and University ID number of each Member; (ii) in the case of an appointment commencing after the beginning of the academic year, within 35 days of the commencement of the appointment, the University shall provide the above list of information for part-time librarians; (iii) the names of all Members whose employment has been terminated due to death, resignation, retirement, severance or dismissal, within 30 days of termination; (c) Two (2) copies of the annual audited financial statements of the University when approved by the Board; (d) Timely disclosure of the existence and scope of any Faculty-wide, Library- wide, Archive-wide, or University-wide planning activities whichfor all Members: (i) have direct financial impact on the Members; or (ii) otherwise substantially impact on the terms and conditions of employment of the Members; (e) Two (2) copies of the latest University budget and budget reports when released to the Board; (f) Such other information as may be set out elsewhere in this Agreement that is required to be given. 6.3 The University shall provide the Association with the following information: (a) The materials provided quarterly to the Board that track the University’s financial position throughout the year; (b) Two (2) copies of the annual audited financial statements of the University when approved by the Board; (c) Timely disclosure of the existence and scope of any Faculty-wide, Library-wide, Archive-wide, or University-wide planning activities which (i) have direct financial impact on the Members; or (ii) otherwise substantially impact on the terms and conditions of employment of the Members; (d) Two (2) copies of the latest University budget and budget reports when released to the Board; (e) Such such other information as may be set out elsewhere in this Agreement that is required to be given. 6.4 Where the University has agreed to provide notices, minutes, reports and other information from the Board and Senate and their Committees to the Association under Article 6 of the collective agreement for full-time faculty and librarians, it shall be deemed to have provided the information to the Association for the purposes of this Agreement. 6.5 The Association agrees to provide the University with the following information: (a) A a copy of any Association communication bulletin for Members when and in the same format as it is distributed to Memberseach WLUFA Newsletter;
