Common use of Electronic Grievance Filing Clause in Contracts

Electronic Grievance Filing. Grievances shall be filed using the electronic grievance system. Bargaining unit employees and the Association shall have access to the electronic grievance system from their agency website (intranet), OEA/SCOPE website, and/or the Office of Collective Bargaining (OCB) website. The electronic grievance system may be accessed from a home or a work computer or a computer in a designated Association office. State of Ohio agencies shall ensure access to the internet in the workplace is sufficient for use of the electronic grievance system to facilitate the processing of grievances. If a system/programming error occurs which makes the electronic grievance system unavailable prohibiting the timely initial filing of a grievance, the initial filing timeline in this Article shall be automatically extended until the end of the employee’s next scheduled shift. Where there is no computer and internet available for the Association to use during any grievance hearings, the Association may use their own computer/tablet and WI-FI access device for the purpose of accessing virtual grievance meetings and the electronic grievance system. The computer/tablet and WI-FI access device used by the Association must be password protected. The local Association will be responsible for obtaining and maintaining the necessary password protection for the computer/tablet and WI-FI access device.
