Steps in Grievance Procedure. Step 1. Immediate Supervisor (Informal) The employee, with or without Union representation, shall take up the grievance with his/her immediate supervisor, with the objective of resolving the matter informally. The supervisor shall respond orally within 7 calendar days. Failure of an employee to act on an alleged violation of the Agreement within 14 calendar days of the employee’s knowledge of the alleged violation shall act as a bar to any written appeal to any further step. Step 2. Department Head of Designee If the grievance is unsettled at Step 1, the aggrieved employee, with or without Union representation, may present the grievance in writing to the Department Head or his/her designee within 7 calendar days of the Step 1 answer or the date the answer was due. The Department Head or his/her designee shall meet with the employee and with Union representation if desired. The written grievance shall state the nature of the grievance, shall note the specific clause or clauses in the Agreement allegedly violated, and shall state the remedy requested. The Department Head or his/her designee shall make a decision on the grievance and communicate it in writing to the aggrieved person (and the Union representative if involved) within 14 calendar days of the filing at Step 2.
