Common use of Employee Access Procedures Clause in Contracts

Employee Access Procedures. Procedures to be followed by the employees wishing to see their personnel files: a) During the days for which he/she is under contract, the employee may come to the Human Resources Department and request to see his/her file. In the interests of the employee’s time, it would be advisable for him/her to make an appointment in advance. During non-contracted days, the appointment must be made in advance. b) An authorized Human Resources Department administrator will be present while the employee examines his/her file. This Human Resources Department administrator is available to assist in the interpretation of the file; he/she will also help to avoid loss, removal, alteration, or destruction of the materials. c) Materials reviewed by an employee and judged by him/her to be derogatory to his/her conduct, service, character, or personality may be answered and/or refuted by him/her in writing. Such written response shall become a part of his/her written personnel records.
