Annually Contracted Faculty. (1) Merit Increase (a) Materials to support merit recommendations shall be the materials submitted for annual evaluation of the employee as specified in Article 8.1. (b) Review for merit increases will be in accordance with the criteria in article 10.4.b. (2) Performance-based Increase An employee shall be awarded a PBI if the employee has received four consecutive “superior” annual evaluations OR has been recommended for a PBI on the basis of the evaluation of a portfolio submitted by the date specified in the University Schedule of Personnel Actions. The portfolio shall contain evaluation materials in accordance with established University policy and the statement of Departmental Application of Criteria. (a) For adequate security, the employee is responsible for providing a detailed table of contents according to guidelines developed by the Xxxxxxx. (b) Materials used in the process of evaluation of an employee for a performance-based increase shall be materials included in the portfolio, materials referred to in the employee's supporting materials, and materials in the employee's personnel file, except for confidential materials submitted in connection with the employee's initial appointment. (c) After the beginning of the review process, the employee may not add materials to the portfolio unless additional documentation has been requested by the Chair, the Xxxx, the Xxxxxxx, or the PBI Committee, or unless the material is submitted as part of a reconsideration process, or unless the material was not available prior to the beginning of the review process. (d) During the PBI review process, reviewers may not add materials to or remove materials from the portfolio; however, reviewers may request that an employee provide additional documentation of statements or materials in his/her portfolio. (e) A copy of the PBI recommendation made at each step of the review process shall be added to the portfolio. A copy of any reconsideration decision shall also be included in the portfolio. A copy of the final recommendation and decision for a performance-based increase shall be placed in the employee's personnel file. (f) A copy of any written PBI evaluation placed in an employee’s portfolio shall be provided to the employee. (g) The Department Chair shall prepare a written PBI recommendation for each eligible applicant with reasons based on the contractual evaluation criteria and the relevant Departmental Application of Criteria. A copy of this evaluation shall be provided to each applicant for a PBI. (h) Should the recommendation be negative, an applicant may submit a written request for reconsideration to the Department Chair within five days of receipt of the chair’s written recommendation. (i) A subsequent written recommendation from the chair shall be provided to the applicant within three working days and this also shall become part of the portfolio. (j) The applicant may withdraw a request for consideration for a PBI within two working days of receipt of the result of the chair’s reconsideration. (k) The appropriate xxxx will review the PBI evaluation portfolios and the chairs’ written recommendations and provide a written PBI recommendation for each employee to the Xxxxxxx. Negative recommendations shall include reasons based on the contractual evaluation criteria and the relevant Departmental Application of Criteria. A copy of this evaluation shall be provided to each applicant for a PBI. (l) The Xxxxxxx will provide the portfolios, including the chairs’ and xxxxx’ recommendations to the ACF PBI Committee. This committee will provide written PBI recommendations to the Xxxxxxx. Negative recommendations shall include reasons based on the contractual evaluation criteria and the relevant Departmental Application of Criteria. Positive recommendations should include a rationale based on contractual evaluation criteria and the relevant Departmental Application of Criteria. A copy of the ACF PBI Committee’s recommendation shall be provided to the applicant. (n) A subsequent written recommendation from the Committee shall be provided to the applicant and Xxxxxxx within three working days.
