Location of, and Employee Access to, Personnel Files. A. An employee's official department personnel file shall be maintained for Unit 13 employees at a location identified by each department head or designee. There shall be only one (1) official personnel file and one (1) supervisory working file regarding each employee. B. An employee or his/her representative, if properly authorized by the employee, may review his/her personnel file and/or supervisory working file during regular personnel office hours with appropriate prior notice. An employee may be excused, at the discretion of his/her supervisor, for a reasonable period of time to review his/her official personnel file and/or supervisory working file. The official personnel file may not be removed from the personnel office unless approved by the department head or designee. C. Where the official personnel file is in a location remote from the employee's work location, arrangements may be made to have a copy of the file sent at the employer's expense to a location specified in writing by the employee.
