Official Personnel File. Each University shall maintain an Official Personnel File for each member of the bargaining unit, which shall be kept in a secure place in the custody of the President. Such file shall contain a continuous record of the unit member's status as an employee of the University within the DGCE unit. For the purposes of this Agreement, Official Personnel Correspondence shall mean correspondence from the Board of Trustees or from the Administration of any University to or concerning a member of the bargaining unit which is stamped “Official Personnel Correspondence” and which gives notice of any personnel action taken or proposed to be taken or of any official commendation, reprimand or disciplinary action.
