COMMITTEES AND STEWARDS. 5.01 The Company will recognize the Union Negotiating Committee of not more than three (3) employees with respect to any matter which properly arises concerning the modification, renewal or termination of this Agreement. When the members of the Bargaining Unit exceed seventy (70) in number, the Company will recognize a Union Negotiating Committee of not more than four (4) employees. For such discussions it is further recognized that either the Company or the Union may call in any one or all of the following for such discussions: a) The Local Union Business Manager or his appointed Representative. b) An International Union Representative to assist the Local Union. c) A Company practicing Attorney or other specialist. 5.02 The Company will recognize a Grievance Committee of not more than three (3) employees for the purpose of handling grievances as provided herein. 5.03 The Company will recognize a total of five (5) Stewards to assist employees in the presentation of their grievances as provided herein. Stewards will only be recognized by the Company in the particular zone of their representation as set out in Appendix A which is attached hereto and forms a part of this Collective Agreement. The number of Stewards and zoning may be varied by mutual consent of the Parties, and it is understood that a temporary Xxxxxxx may be appointed in the absence of a Xxxxxxx. The Union will notify the Human Resources Manager or designate of any change in Xxxxxxx representation. 5.04 The Union agrees that Committeemen and Stewards, both permanent and temporary, shall have acquired seniority standing with the Company prior to their appointment and acknowledges that such employees have regular duties to perform on behalf of the Company, and agree that such employees will not leave their regular duties to perform their Union functions as provided herein, without first obtaining the permission of their immediate Supervisor. Such permission will not be unreasonably withheld. The Union representatives will report back to their immediate Supervisor when resuming their regular duties. It is understood that time so taken away from regular duties will be without loss of pay, provided that such time is taken during the employees working hours and when on the premises of the Company. 5.05 The Company will arrange to introduce employees new in a Xxxxxxx zone, to the Xxxxxxx in that zone, preferably on the first day in the zone or as soon thereafter as possible. At the time of hiring all new employees will be given a paid orientation period with the Unit Chairperson or designate. The Company shall provide office space in the plant for the use of Union officials for the discharge of their duties. 5.06 Both the Union and the Company will appoint up to three (3) members each plus the Local Union Business Manager or his appointed representative and a Company nominee to function as a Labour Management Committee. Meetings may be called by either party not more than once in any calendar month for purposes of discussing mutual problems and working conditions, if an agenda is provided by the party calling the meetings. 5.07 The Local Union Business Manager, or his appointed representative shall have access to the plant during working hours providing he first makes arrangements with the General Manager or designate. 5.08 All communications relating to matters arising out of this agreement shall be sent to the Unit Chairperson or designate of the Union. 5.09 Minutes of the Labour Management and Health and Safety Committee meetings shall be posted within five (5) working days of the meeting. 5.10 Employees will be granted permission to view their personnel files during regular working hours. Such permission shall be arranged through the immediate supervisor. 5.11 A xxxxxxx must be present when an employee is to receive a verbal, written warning, suspension or discharge. 5.12 All disciplinary notices including verbals that are documented or suspensions shall be disregarded and removed from the employee’s personnel file twenty- four (24) months from the date of the infraction.
