Information Flow for Communication Processes. ‌ Effective channels of internal communication need to be established in order to exchange required information for the project implementation, such as deliverables and relevant documentation, and to ensure that everyone understands what they are required to achieve and how they are performing through meeting minutes and progress reports. The means for remotely conveying information among GOV 3.0 partners include: ● E-mail communication and file transfer over the internet. A dedicated google group with the mailing list Gov 3.0 Project [xxxxxxx-xxx0@xxxxxxxxxxxx.xxx] has been created for the needs of the consortium. If new members from a partner would like to join the mailing list, the co-ordinator needs to be previously informed via e-mail from the partner leader in order to extend them a personal electronic invitation for the group. Urgent correspondence via e-mail needs to be sent with a request for acknowledgement or read receipt. ● Gov 3.0 document repository in google drive that will publish documentation related to GOV 3.0 (i.e. deliverables, meeting presentations and minutes, etc.). Access to this repository is restricted to project partners. ● Google docs for collaboratively developing content for the project. ● Telephone and internet-based voice and video conference systems (GoToMeeting, Skype, webex) facilities will be used for teleconferencing purposes among the partners based on the project WP needs. ● Express mail will be used for strictly formal correspondence, i.e. when executive signatures are required. The Project Manager and the Quality Manager are responsible to ensure adherence to the aforementioned communications channels. Furthermore, in order to ensure that the right information will reach the right people in larger, external to the consortium communities, the following mechanisms that will be finalized in WP7: Dissemination shall be appropriately considered: Mailing lists, Web site1, Blog, Social Media such as Twitter, Facebook, Researchgate, Slideshare, YouTube, LinkedIn, Web- based consultation meetings. The appropriate combination of such communication mechanisms will be used for enhancing project visibility and for consultation purposes based on the stakeholders involved, the urgency for response; the sensitivity of the content; the impact and the permanency of the information. The Company has no obligation to monitor the Communication Services. However, the Company reserves the right to review materials posted to a Communication Service and to remove any materials in its sole discretion. The Company reserves the right to terminate your access to any or all of the Communication Services at any time without notice for any reason whatsoever. The Company reserves the right at all times to disclose any information as necessary to satisfy any applicable law, regulation, legal process or governmental request, or to edit, refuse to post or to remove any information or materials, in whole or in part, in the Company’s sole discretion. Always use caution when giving out any personally identifying information about yourself in any Communication Service. The Company does not control or endorse the content, messages or information found in any Communication Service and, therefore, the Company specifically disclaims any liability with regard to the Communication Services and any actions resulting from your participation in any Communication Service.
