Administrative and Management Functions. Contractor shall provide day- to-day management activities including planning, and acquisition of services, equipment, supplies and facilities to fulfill the Annual Business and Marketing Plan (the “Business Plan”) for the Visitor Information Center and Tourism Promotion Activities. Contractor shall be responsible for maintaining capable and competent staff, including management staff. Contractor’s Executive Director or designee shall attend any City Council and/or City Committee meetings as directed by City Council to provide updates, information or other data on Visit Bend plans and services.

Academy Theatre shall provide day-to-day management activities including planning, purchase and acquisition of services, equipment, supplies to fulfill the annual Business and Marketing Plan for each of the areas outlined above. Managing the acquisition and retention of a capable and competent staff, cultivation of community support and accounting for the budgeting of the Annual Business and Marketing Plan funds according to accounting procedures established by City and/or XXXX shall be the responsibility of Academy Theatre. Academy Theatre may perform these functions through contractors and/or consultants. The Academy Theatre shall not serve as the spokesperson for the Mayor and Council in regards to city-related issues (staff, incidents, decisions) unless requested in writing.

Tasks include: • Maintenance of a rainy day fund, currently held at the equivalent of 5% of the annual DMO budget. • Subject to Contractor’s organizational documents, Contractor’s Board of Directors will be comprised of tourism industry stakeholders. This board will meet at least six times annually and provide oversight and management of staff and subcontractors necessary to complete this scope of work. • Pay all direct costs of operating including, but not limited to labor; supervision and bookkeeping.

Managing the acquisition and retention of a capable and competent staff, fund-raising, cultivation of community support and accounting for the budgeting of the Plan funds according to accounting procedures established by City will be the responsibility of DMO. DMO may perform these functions through contractors and/or consultants. In addition, DMO will provide marketing, sponsorship and support for a mutually agreed upon number of City events. DMO will comply with the City of Hapeville’s requirement to have a stand-alone Visitor’s Center located in the Train Depot Museum or other facility of the City’s choice.

The FUND shall serve as a fundraising and funding organization for local non-profit arts groups and shall not provide day-to-day management activities including planning, purchase and acquisition of services, equipment, supplies to fulfill the needs of the specified funded arts activities of the funded organizations.
