HOSPITALITY FUNCTIONS. BOMA encourages exhibitors to provide hospitality to attendees during the conference provided that those events do not conflict with already scheduled conference events. BOMA reserves the right to approve Exhibitor functions to ensure they are taking place during designated hours for such events. Exhibitors found holding off-site events that conflict with already scheduled conference events may result in the loss of priority points for space selection, loss of access to the post-show attendee list and/or expulsion from next year’s Expo. Exhibitor agrees that all hosted hospitality functions adhere to local, state, and federal regulations regarding gatherings in Nashville, TN. Exhibitor is aware that guidelines are evolving and may change at any time.

HOSPITALITY FUNCTIONS. Show Management MUST approve exhibitor hospitality in advance. Only exhibitors will be permitted to conduct hospitality functions in hotels under contract to Show Management. Such functions will be permitted to open only during hours in which there are no exposition or convention functions. Breakfast functions are not permitted. Permission for hospitality functions must be received 60 days prior to opening of show. Prizes given to persons attending hospitality functions and the method in which winners are selected must be approved by Show Management and requests for such approval must be received at least 60 days prior to the opening of the show. These regulations become a part of the contract between the exhibitor and Show Management and have been formulated in the best interest of all concerned. All points not covered are subject to the decision of Show Management.
HOSPITALITY FUNCTIONS. Scheduling of private functions, cocktail parties or other special events in conjunction with the Conference and within the Conference facility MUST be coordinated directly with Event Management. Functions scheduled during Conference business and social events are prohibited.

HOSPITALITY FUNCTIONS. Any vendor-held hospitality function or social event must be pre-approved by ILTA. Social functions must not conflict with any ILTA events. No client events with more than 20 attendees (golf tournaments, helicopter rides, etc.) may be scheduled during the day.
