Reservation Cancellation. To reserve the Space, the Online Agreement and payment is due before any space will be assigned. Payments under $15,000 are due in full to secure your space, if the order is over $15,000 a minimum of $15,000 is due to secure your space. If Exhibitor's total payment is in excess of $15,000, final payment must be received by Tuesday, August 3 or Exhibitor will be deemed to have canceled the Agreement.

Reservation Cancellation. The POC is responsible to notify staff as soon as possible should a meeting be cancelled or the room is no longer needed for the scheduled time. Failure to do so may prevent your organization from future use.

United Way of Greater Lorain County has the right to cancel reservations at its discretion or move your meeting to another room that will accommodate your group. HDMI to VGA or USB converters are not reliable. • Be mindful of noise levels and remind your attendees of this as well, as normal United Way office activities will still be taking place during your event. Please ask your attendees not to linger at the reception area. The noise level makes it difficult for receptionist to hear phone calls. • Keep doors closed at all times during meeting. • Registration tables and food/drink tables are to remain in your meeting room. • Remind attendees that your group is using the room, and if they need anything to ask the user/host, not the United Way staff. Applicant is responsible for clean up after the event and leaving the room in same condition as when arriving. • Smoking is not permitted in the building. • Firearms are not permitted in the building. • Groups using the rooms are responsible for loss or damage to equipment, damage to the building and grounds and will be held accountable for any financial loss. • Applicant shall hold United Way of Greater Lorain County harmless at all times for any claims or damage on account of injury to anyone using the facilities. • Before leaving the building, please stop at front desk for a post meeting room walk through. Reservation Cancellation. To reserve the Space, the Agreement and payment as specified on the Booth Space Agreement must be returned to the Conference by Friday, August 5, 2016 to be included in the first round of assignments. If not received by this date, the Conference reserves the right to cancel the Agreement. If Exhibitor's total payment is in excess of $15,000, total payment must be received by Monday, November 14, 2016 or Exhibitor will be deemed to have canceled the Agreement. BOTH THE EXHIBITOR AND THE CONFERENCE SPECIFICALLY RECOGNIZE AND ACKNOWLEDGE THAT THE CONFERENCE WILL SUSTAIN CERTAIN LOSSES IF THE EXHIBITOR CANCELS THE AGREEMENT AFTER ITS EXECUTION. In the event of the guest cancelling the reservation, the following cancellation fees will be charged: • Reservation cancellations notified till 60 days before arrival: 100 % of the total reservation cost is refunded • Reservation cancellations notified between 30 and 59 days before arrival: 50 % of the total reservation cost is refunded • Reservation cancellations notified between 0 and 29 days before arrival: 0 % of the total reservation cost is refunded Cancellations must be made by 12:00 PM on the appropriate day.

The handling charges of 25,00 € will be deducted from the payout which needs to be returned to the guests. The cancellation date is considered to be the day when the cancellation notice has been received (if it happens to be a holiday or Sunday, it will be considered the next working day). In case of no-show or unnanounced delayed arrival, Euro Tours keeps the total reservation amount.
