Administration Duties. 1.1 Provides data entry, analysis and follow up.
1.2 Provides direct administrative secretarial support to the Emergency Management Service.
1.3 Organises meetings for the Department including training programs and promotion and publicising of Emergency Management.
1.4 Prepares and distributes correspondence, reports, agenda papers and records of minutes as required.
1.5 Receives visitors and intercepts/initiates telephone calls for Department using initiative in handling calls.
1.6 Monitors all correspondence for the Department and establishes mechanisms to bring forward and follow up. Drafts and prepares routine correspondence.
1.7 Organise filing of correspondence and information, and maintain Departmental filing system, including archiving files.
1.8 Participates in Departmental Quality Improvement programs.
1.9 Other duties as required.
Administration Duties. 1.1 Provides relief cover as required for administration and clerical positions within Royal Perth Bentley Group.
1.2 Undertakes all duties and responsibilities of the specific position as described on the relevant job description form.
1.3 Provide a customer focused service to all clients of Royal Perth Bentley Group.
1.4 Arranges meetings, prepares agendas and takes minutes as required.
1.5 Transcribe correspondence, memoranda, minutes, clinical reports/summaries and presentations from dictation or draft. Proof read and edits copy for completeness and correctness.
1.6 Maintains records and filing systems, including organising general office systems and photocopying as required.
1.7 Supports department managers and maintains department applicable databases.
1.8 Raises requisitions and stationary orders as required, including catering and other Services supplies.
1.9 Facilitates payment of accounts by getting invoices authorised and forwarding for processing.
Administration Duties. 1.1. Create and maintain a centralised repository of documents and information resources to facilitate easy access and sharing of information within the Executive Support function and with other relevant departments.
1.2. Prepare documents, reports, and presentations for board meetings and the Executive, ensuring accuracy and adherence to deadlines.
1.3. Oversee the collection, storage, and analysis of data related to Executive Support activities, ensuring data integrity and confidentiality.
1.4. Schedule meetings, take minutes, and ensure timely dissemination of relevant information.
1.5. Ensure quality assurance processes for the accuracy and consistency of documents and reports produced by the Executive Support function.
1.6. Ensure compliance with relevant policies and procedures, including data protection and confidentiality requirements.
1.7. Assist in budget tracking, processing invoices, and coordinating financial information related to the Executive team's activities.
1.8. Assist in identifying potential risks and vulnerabilities in administrative processes and propose measures to mitigate them.
1.9. Continuously review and suggest improvements for administrative processes.
Administration Duties. 2.1. Provide a range of administrative and support services - including records management, routine correspondence, meeting coordination.
2.2. Complete routine financial transactions, including processing invoices, and purchasing services.
2.3. Liaise with Interpreter services, if required.
2.4. Be fully aware and report any aggression/security risks to direct manager at all times.
2.5. Take, type and distribute minutes for relevant Meetings as directed.
2.6. Along with the Bi-Cultural Client Support Officers contribute to the development and maintenance of a Service Provider directory through identification of gaps and available services.
Administration Duties. 2.1. Liaise with Interpreter services, psychiatrist, sessional staff and affiliates regarding client bookings.
2.2. Maintain STARTTS generic email daily.
2.3. Take, type and distribute minutes for relevant Meetings as directed.
2.4. Relieve other clerical/administration staff at other STARTTS metropolitan offices as directed.
2.5. Travel between STARTTS metropolitan offices when required. 2.6. Support Administration Support Team Leader as required.
2.7. Contribute to the efficient administration and up-keep of the service including training new reception staff in administrative duties.
2.8. Maintain amenities within the office ensuring stock is up to date, and any cleaning or maintenance issues are reported.
2.9. Provide assistance to the executive secretary as required.
2.10. Provide administrative support to other areas of STARTTS as required.
