Correspondence and Information. 7.01 All regular correspondence between the parties arising out of or incidental to this Agreement, except where otherwise expressly provided, shall pass between the President of the Union (or designate) and the officer designated by the Employer (or designate). Such correspondence will be delivered via email with a hard copy forwarded through the University’s internal postal service.
7.02 It is the obligation of the Employee to maintain a current and correct address with the Employer and to advise the Employer of any change to his/her address.
7.03 The Employer shall provide the Union with an alphabetical list of all Employees in the Bargaining Unit in an agreed upon electronic format four (4) times per year, within twenty (20) Days of the beginning of each Semester. Such list shall include: name, gender, date of hire and ending date, if any, faculty of work, position title, salary, home address and telephone number and UOIT email address. The confidentiality of individual data shall be respected by the Union, which shall use the information only to contact members of the Bargaining Unit.
7.04 Upon written request, the Employer agrees to provide the Union with Employer- wide written rules, policies and practices directly related to the employment of Bargaining Unit members or the working conditions between the Employer and the Employees.
7.05 When a Collective Agreement has been signed, the Employer shall post the text of the Agreement on its website and, upon request, shall provide Employees with a printed copy of the Collective Agreement. The Employer shall further make available a copy of the Agreement in each departmental office, and shall provide the Union with a reasonable number of copies. The Employer and the Union agree to share equally the cost of producing copies of this Agreement. The Employer will make the printing arrangements with a printer whose employees are unionized, and invoice the Union.
7.06 Dated Written Communications Dated written communications required under this Collective Agreement, unless otherwise specified, shall be sent to the recipient’s University email address, followed by a hard copy through the University internal mail service. Dated written communications will be deemed to have been received on the Day after the email was sent. Timing for responses subsequent to a dated written communication will count from the Day following the date of deemed receipt.
Correspondence and Information. 9.1 All correspondence between the University and the Union relating to matters covered by this Agreement, except as otherwise specified in this Agreement, will pass between the President of the Union and the Director, Employee/Labour Relations or their designates.
9.2 Where written notice is specified in this Agreement, e-mail will be deemed adequate means, unless otherwise specified in this Agreement.
9.3 The University will provide the Union with the following information in electronic form:
(a) annually on or before the 15th of January in each year:
(i) a listing containing the names of all employees in the bargaining unit including their job title, Librarian level, employee type (per Article 3.02, Types of Employees), employee identification number, department, campus address, gender, employment start date, home address, home telephone number, workplace email address, gross annual salary, and latest hire date, if applicable;
(ii) a listing of all new hires and their employee type (per Article 3.02), terminations, including resignations and retirements, and leaves per Article 17, Leaves of Absence and Article 23, Organizational and Professional Development; and,
(iii) a listing of all employees who are currently on, or have been on, salary continuance or long term disability (per Article 16, Absence Due to Illness/Injury), in the previous 12 months;
(b) notification of deaths of any current employee; and,
(c) such other information as may be set out elsewhere in this Agreement that is required to be provided.
9.4 The University will provide the Union with copies of appointment letters for all new employees.
9.5 The Union agrees to provide the University with the following information in electronic form:
(a) a listing of the Union Executive members and Union Stewards in accordance with Article 5.01(b), Union Representation; and,
(b) such other information as may be set out elsewhere in this Agreement that is required to be given.
9.6 The Parties are relieved of their respective obligations in Articles 9.03, 9.04 and 9.05 to the extent that the relevant information is readily accessible to the other Party electronically.

13.1 Except where otherwise specified in this Agreement, correspondence between the Association and the University arising out of this Agreement, or incidental thereto, shall pass between the Xxxxxxx and the President of the Association, or their designates. Such correspondence may either be delivered directly in paper or electronic form, or forwarded through the University’s internal mail service. Correspondence to the Association shall be copied to the Executive Officer or designate.
13.2 The University shall provide the Association with the following information in a mutually agreed- upon paper or electronic format:
a) by the end of the calendar year, an annual list of all Members containing their names, date of hire, categories of appointment, ranks, years of appointment to current rank, birth dates, University addresses, genders, salaries, stipends, Departments, highest degrees obtained, and years of highest degree;
b) by the end of each semester, a list of the names of all Members whose employment has been terminated, the dates of such terminations and the categories of terminations, such as, but not limited to dismissal, expiration of contract, death, resignation, or retirement;
c) no later than thirty (30) days following the appointment of a new Member, a list containing the name, category of appointment, rank, salary, birthdate, gender, Department, DOE, and University address of such Member;
d) by July 1st of each year, an annual list of the names and new ranks of Members who have received Tenure and/or Promotion and the effective dates of such Tenures/Promotions;
e) by the end of the calendar year, an annual list of all Members who are on Leave during the present Academic Year and the type of Leave they are on;
f) by February 1st, an annual list of all credit courses taught by Members and non-Members for the preceding Academic Year, with the following information identified: course number, semester of the class, name of the instructor(s), number of students in the class; and
g) within ten (10) days of posting, copies of advertisements for external searches.
h) Copies of position descriptions shall be provided to the Association upon written request.
i) Copies of all health benefit contracts shall be provided to the Association upon written request.
j) Benefit usage rates shall be provided to the Association no more than once per year upon written request.

Correspondence and Information. 6.1 Except where otherwise specified in this Agreement, correspondence between the Association and the University arising out of this Agreement or incidental to it shall pass between the President and the Principal, or their designates.
6.2 The University shall provide the Association with the following information no later than January 15, May 15, July 15, and September 15 each year (unless otherwise stipulated below) for the duration of this Agreement:
(a) For all Members (except Term Adjuncts), an electronic list containing the name, employee ID number, appointment, rank, date of appointment to each rank, birth date, gender, Unit(s); Faculty, University e-mail address, FTE and nominal and actual salary. For Term Adjuncts, an electronic list containing the name, employee ID number, title, rank, contract start and end dates, gender, Unit(s), Faculty, e-mail address, remuneration for each course, identification of course(s) and proportion of course(s) taught, remuneration for and identification of additional duties, Years of Teaching Experience, and Right of Renewal/Reappointment status. The lists required by Article 6.2(a) shall be supplemented with the names and information of any additional Members and details of any revisions to appointments, including assignment of additional duties, for Members, as soon as practicable after such appointments or revisions are made;
(b) Years of experience (YOE) as of the preceding July 1 for all Members (except Adjuncts), provided once per year no later than September 15;
(c) An electronic list of all Members whose employment has been terminated, the date of terminations, and the categories of termination, such as expiration of contract, death, resignation and dismissal;
(d) An electronic list of the names and new ranks of Members who have received promotions, and the effective dates of such promotions;
(e) An electronic list of all Members granted leave for the present Academic Year or part thereof and the type of leave granted; and
(f) Commencing September 15, 2012, an electronic list of all Members on Long- Term Disability as of the date the list is produced.
6.3 The University shall provide the Association with the following information:
(a) Approved minutes of the Pension Committee, the audited and other reports concerning the pension and benefit plans, and two (2) copies of the current plan and any amendments to the plan;

Correspondence and Information. The City shall make available to the PEC copies of any correspondence between the City, the GIC, MIIA/BCBSMA or between the City and any provider of health care on a quarterly basis. Likewise, the PEC shall make all like correspondence from any healthcare provider available to the City within the same timeframe. Correspondence or information protected by HIPPA will remain confidential.
Correspondence and Information. 8.01 Except where otherwise specified in this Agreement, correspondence between the Employer and the Union arising out of this Agreement or incidental to it shall pass between the Local Representative, PSAC Regional Representative and the Employer, or their designates.
8.02 It is the obligation of the Employee to maintain a current and correct address with the Employer and to advise the Employer of any change to his/her address. Where an Employee is on leave in accordance with the current collective agreement, the Employer shall forward any notice or other documentation related to the Employee to his/her last known address.
8.03 The Employer agrees to provide the Union the following information:
(a) the names, titles, and correct contact information of all persons appointed to any joint committee formed in accordance with any of the clauses of this Collective Agreement; and
(b) the names, titles and contact information of individuals appointed to senior administrative positions, including the Principal, the Vice-Principals, and the Xxxxxxx and Vice-Principal (Academic).
8.04 The Union agrees to provide the University the following information:
(a) the names, titles, and contact information of all persons appointed or elected to positions in the Local Union and authorized to represent it in its relationship with the Employer;
(b) the name and contact information of the PSAC Regional Representative; and
(c) the names, titles, and contact information of all persons appointed to any joint committee formed in accordance with any of the clauses of this Collective Agreement.
Correspondence and Information. 5.1 Except where otherwise specified in this Agreement, correspondence between the Association and the University arising out of this Agreement or incidental thereto will pass between the Chief Human Resources and Equity Officer and the President of the Association, or their designates.
5.2 Where written notice is specified in the Agreement, the University's internal mail will be deemed adequate means, unless otherwise specified in this Agreement, or as mutually agreed to by the Parties.
5.3 The University will provide the Association with the following information, preferably in electronic format:
(i) annually, a list containing the names of all Members, their job title and classification
(ii) bi-weekly, through the Staff Changes Report, all hires, changes in classification, type or length of appointment, leaves, transfers and terminations involving all Members in positions covered by the bargaining unit;
(iii) two (2) copies of the latest University budget and budget report when circulated to the Board;
(iv) two (2) copies of the annual audited statement of the University when presented to the Board;
(v) notice of meetings, agenda, and a copy of the public minutes of the Board at the time of distribution;
(vi) notice of meetings, agenda and a copy of the public minutes of the Senate at the time of distribution;
(vii) the names and addresses of all persons appointed or elected to positions on the Board or Senate, together with the names of persons appointed or elected to Board or Senate committees with any terms of reference of those committees at the time of their election or appointment;
(viii) approved minutes of the Building and Properties Committee and Finance and Investment Committee of the Board, and the audited and other reports concerning the pension and benefits plans;
(ix) such other information as may be set out elsewhere in this Agreement that is required to be given.
5.4 The Association agrees to provide the University with the following information, preferably in electronic format:
(i) a copy of each Association newsletter at the time of distribution to the Members;
(ii) a copy of the Constitution and By-laws of the Association as they exist at time of ratification and as they are updated;
(iii) a list of the Officers and Stewards of the Association as they exist at time of ratification and as they are updated;
(iv) such other information as may be set out elsewhere in this Agreement that is required to be given.
Correspondence and Information. 10.01 Fax, e-mail or other electronic means, and internal mail shall all be acceptable means of communication unless otherwise specified in the Collective Agreement. Discretion shall be used with regard to confidential information.

b) Every Employee will be provided with an email account to be used for their Queen’s employment. Every Employee shall have access to their employee email account for five (5) months following the end of their employment contract.
7.03 The Employer shall provide the Union with an alphabetical list of all Employees three (3) times per year, within seven (7) Calendar Days of the beginning of each Academic Term. Such list shall include: Employee ID, name, gender, faculty or department of work, and Employee email address (if available). The Employer shall also provide a complete list of all Employees within twenty-one

13.2 It is the obligation of the Employee to maintain a current and correct mailing address with the Employer and to advise the Employer of any change to their mailing address.
13.3 The Employer shall provide the Union with the following information in a mutually agreed- upon electronic format:
a. Within thirty (30) days of the new year an alphabetical list of all Employees, including: name, date of hire and ending date, faculty of work, position title, salary, mailing address and telephone number, and their University email address;
b. Within five (5) days of the beginning of each month, a list of the names of all Employees who were terminated during the previous month, the dates of such terminations and the categories of terminations, such as, but not limited to, dismissal, expiration of contract, death, resignation, or retirement; and
c. Within five (5) days of the beginning of each month, a list of the names of all Employees who were appointed during the previous month and their date of hire and ending date, faculty of work, position title, mailing address and telephone number, and their University email address.
13.4 The confidentiality of data about individuals shall be respected by the Union, which shall use the information only to contact members of the Bargaining Unit.
13.5 The Employer shall provide to the Union the following information within one month of the information becoming available to the body or agent that normally receives the information, unless a different time is specified below. This requirement may be satisfied by publication of the following information on a University website to which the Union has access:
a. when they have been approved by the Board, the University’s annual audited financial statement and semesterly reports of the University, including all appendices, supplements and ancillary documents;
b. a copy of the approved University budge...
