Scheduling Vacation Leave. Whenever possible, employees will have a choice of time for vacation. If an employee's absence will seriously hamper the work of the department, the District may request that the employee take vacation at a time other than the time requested. Except for emergencies or other special circumstances, all vacation must be requested and approved in advance. Employees must submit a Request for Vacation. Whenever possible the form will be submitted ten (10) working days prior to the requested vacation. The request will be approved/denied within three (3) working days. If vacation is denied the reason for the denial shall be stated on the Request for Vacation form. The suggested ten (10) day notice shall not be the sole reason for a request denial. If multiple requests are received on the same workday, seniority will be the determining factor in approving requests for the same vacation time. If vacation is approved it shall not be changed or rescheduled by the District except in an emergency. When vacation is canceled for emergency reasons the employee will have the option to reschedule or be paid for the vacation time. Such rescheduling must occur within three (3) months of the canceled vacation and the unused vacation will have no effect on the vacation accrual limit during that time period. If the vacation cannot be rescheduled within three (3) months, the employee will be paid for the vacation. If an employee’s vacation is canceled by the District, the District will reimburse the employee for any and all non-refundable expenses incurred by the employee such as non-refundable plane fares or reservations. After a vacation leave is approved an employee may request a change only if the change does not impact the work or affect the already scheduled vacation time of other employees. If an employee becomes seriously ill or is injured during a scheduled vacation period, the employee may submit a signed statement from a physician that the employee was incapacitated and would be unable to work. In such circumstances, an employee may request that the time be deducted from earned sick leave. The physician statement shall include a complete description of the illness or injury and length of disability, receipts of payments made for medical care and any other supporting documentation deemed appropriate by the District. If the request is approved, the balance of the vacation shall be rescheduled.

Scheduling Vacation Leave. Whenever possibleUse of vacation leave must be approved in advance by the Operations Manager or designee. Vacations initially shall be scheduled according to seniority, then on a first-come, first-served basis, as follows: i. The Employer shall have the right to establish a vacation schedule establishing the number of employees allowed vacation on given dates and/or shifts. ii. The vacation year shall be defined as a twelve (12) month period beginning January 1 and ending December 31. iii. Bidding will start the first Monday in December and will last a total of four (4) weeks. Employees are to enter their vacation requests into Paylocity. Vacation will be bid in continuous blocks beginning and ending on any day of the work week, or as individual days. The choice of vacation days shall be determined by seniority of each employee. When an employee selects a vacation week in which one of the fixed holidays fall (e.g., Christmas Day) the employee will receive four (4) days of vacation leave and one day of holiday pay. iv. Following the annual bidding, employees may request approval for vacation days following Department procedures. Any employee whose annual bid request was rejected may elect to keep their request active in the event that the date(s) become available. These requests shall be considered first and by employee seniority over any requests made after the annual bidding period has ended. v. Vacation leave will have only be granted if the employee making the request has a choice of time for vacationleave balance that, with projected accruals, would be sufficient to cover the entire leave request.
