Utilization, Xxxxxxxxx and Xxxxxxx. 1. All vacation usage shall require prior approval from and shall be granted at the discretion of the appropriate supervisor, according to the needs of the applicable department. Such vacation requests shall be made in writing. 2. Vacation must be taken in the calendar year in which it is earned, however, an employee may carry forward one (1) week (5 work days) of vacation from a previous year, provided that the employee takes such vacation week together with no more than two (2) weeks (10 work days) of his/her vacation earned in the same calendar year at one time. Department Heads may, with the approval of the Mayor, allow such carried over week to be taken in some other manner if the needs of the Department permit. 3. An employee who has been employed with the City for five (5) or more consecutive years shall be allowed, in each calendar year, to exchange up to two (2) week's (ten (10) days) pay at his/her current base rate, for up to ten (10) accrued vacation days, provided the employee has three (3) weeks of vacation as of January 1st of the calendar year in which s/he wishes to exchange the aforementioned weeks. 4. Employees employed for less than five (5) years shall be allowed, in each calendar year, to exchange up to one (1) week's pay (five (5) work days) for up to five (5) accrued vacation days. 5. This revised vacation matrix/schedule is effective with the execution of this Agreement and shall not be applied retroactively to any current employee’s vacation leave, with the exception of those employees with a start date on or after July 1, 2017.
