Conformed Documents Clause Samples
The Conformed Documents clause establishes that all copies of a contract or agreement must accurately reflect the final, executed version, including all amendments and modifications. In practice, this means that any party distributing or relying on a document must ensure it matches the official, signed version, whether in physical or electronic form. This clause helps prevent disputes or confusion by ensuring all parties are working from the same, authoritative set of terms and conditions.
Conformed Documents. 6.10.1 During the entire bidding and award Stage, the A/E shall incorporate all Addenda information into the Contract Documents; and, between the date that the Contracting Authority issues a Notice of Intent to Award for the first construction contract for the Project and the effective date of the first construction contract Notice to Proceed, the A/E shall provide updated Contract Documents that conform in every regard to the documents originally issued for bidding purposes plus all of the information in all Project Addenda and accepted Alternates (“Conformed Documents”).
6.10.2 The A/E shall issue the Conformed Documents to the successful Bidder(s) upon award of their respective contracts.
6.10.3 If the amount of a contract is $500,000 or less, the A/E shall furnish 5 sets of Conformed Documents to the respective Contractor. If the amount of a contract is greater than $500,000, the A/E shall furnish 7 sets of Conformed Documents to the respective Contractor.
6.10.4 The A/E shall provide Electronic Files to each requesting Contractor for the Contractor’s convenience for the purpose of preparing its submittals, including, but not limited to, Shop Drawings and Coordination Drawings. The A/E shall provide such Electronic Files at no additional cost to the Contractor or the Owner.

Conformed Documents. Prior to the first application for payment, Contractor shall show proof of conformed documents with all Bid addenda identified on the record drawings and on its field set of drawings. Supplemental information following the bid shall be included and updated monthly for review with the application for payment.
Conformed Documents. ENGINEER will prepare conformed documents for the construction project, incorporating addenda items into the plans and specifications, and provide an electronic copy (PDF) and four hard copies of ½ size plans and specifications and three full size sets of plans for use by the OWNER and Contractor during construction, and five additional sets of specifications for preparing contracts. Conformed Documents. Consultant will incorporate addenda during bidding phase into the contract documents. Two (2) full-size sets and twelve (12) half-size sets of conformed drawings; twelve sets of specifications. Two (2) DVDs with electronic files (PDF format), and same files posted to EADOC. The City will establish a unique EADOC construction phase project record.
Conformed Documents. Engineer will prepare conformed documents for the construction project, incorporating addenda items into the plans and specifications, and provide up to 20 sets of ½ size plans and specifications and up to 10 sets of full size plans for use by City staff and Contractor during construction. Conformed Documents. The CONSULTANT shall incorporate into the 100% documents, which were used for bidding, modifications resulting from the bid phase RFIs and addenda. Following preparation of the conformed Construction Drawings and Specifications, the CONSULTANT shall make such documents available to the CITY and the Contractor awarded the project. Conformed Documents. 6.4.2.1.1. The ENGINEER will provide the CITY and Construction Contractor an Adobe PDF file of the conformed front-end documents, technical specifications, and drawings for their use.
6.4.2.1.2. The ENGINEER will provide four (4) sets of conformed front- end documents and technical specifications to the CITY for use during construction. The ENGINEER will provide one (1) full-size (22” x 34”) set of drawings and three (3) half-size (11” x 17”) set of drawings to the CITY for use during construction.
6.4.2.1.3. The ENGINEER will provide ten (10) sets of conformed front- end documents and technical specifications to the Construction Contractor for use during construction. The ENGINEER will provide two (2) full-size (22” x 34”) set of drawings and eight (8) half-size (11” x 17”) set of drawings to the Construction Contractor for use during construction.
Conformed Documents. KFA will update the Contract Documents based on the Addenda issued and will issue Conformed Documents to Bexar County.
Conformed Documents. Consultant will incorporate applicable addendum items into the Contract Documents and prepare Conformed Documents. Conformed Documents will be issued to Contractor as the Contract Documents.
