It is the responsibility of the Contractor to ensure that he is able to supply work in the electronic file format specified on the order form prior to accepting the assignment. Unless otherwise agreed between the Contractor and the authorising department, all work must be correctly formatted so as to be an identical replica of the original text. In full post-editing assignments, the work should be an identical replica of the original text.

Any exceptions to the Electronic File Format requirements above must be approved in writing by the CAM. The CAM will consult with the Energy Commission’s Information Technology Services Branch to determine whether the exceptions are allowable.
Electronic File Format. The content of electronic drawings must match the delivered original hard copy set. To ensure the integrity of the electronic drawing set upon delivery the FS: • Facility documentation drawings and construction project drawings must be submitted to FS in full compliance with AutoCAD software (file extension = .DWG) • Northern Arizona University shall not accept any drawings in the Drawing Interchange Format (DXF) or any other format that .DWG. If any drawing translators are used prior to submittal, the results of such translation shall be 100% complete. It is the responsibility of the Design Professional to cross-check translated drawings for errors and omissions. • All AutoCAD files shall have a “word file” associated with it. The world file shall have the required coordinate and projection system. Electronic File Format. All proposal documents must be compatible with Microsoft Office 2016 and/or the latest Adobe Acrobat Reader Portable Document Format (PDF), where applicable, and shall be searchable. Files shall not be embedded in PDF documents. The Offeror shall ensure that each Volume is provided as a separate electronic document IAW 3.0 below. The Offeror is responsible for ensuring electronic proposals are virus free. Offerors may use hyperlinks within proposal volumes that do not include price information, but not between volumes. However, there shall be no links from any other volume into the Price Volume or into any other portion of the proposal that contains price information. In order to reduce file sizes, the Offeror shall not embed sound or video (e.g., MPEG) files within the proposal submission. The Offeror is encouraged to simplify the color palette used in creating figures; and minimize size of graphics files; and avoid scanned images.
