Outreach Implementation Sample Clauses

Outreach Implementation. This task includes attending project team meetings, outreach fieldwork and holding open houses. The activities will be finalized in the Public Outreach Plan, but could include:  Create an Open for Business Toolkit, including best practices for businesses during construction, opportunities for joint advertisement supported by the City, business signage, and customer information pieces.  Initiate personal contact (door knocking/door hangers) with all property owners in the project area during the design phase as needed with highly impacted property owners. During the first door knocking session, the team will collect information on the individual needs of business owners.  Review existing encroachments into City's ROW to gain a solid understanding of the property issues to address. Take video and photos of existing conditions—a useful tool for designers as well as communication with property owners during construction.  Hold Open Houses after 30% design at times convenient to homes and businesses. Information will include a construction timeline and anticipated impacts. More directly impacted property owners will get site visits, coordinated with the ROW team. Additional Open Houses will be held around the 60-90% design phase and before construction.  Provide interested stakeholders a tour of the project site to share project benefits: coordinated utility and street upgrades, water quality improvements, pedestrian, and bike improvements.  Support City staff with distribution of public outreach communications materials. Assumptions:  Project information will be distributed through the City's established communications channels  City will provide staff support at Open House events  City staff will provide contact information and help coordinate communications for the Open for Business Toolkit  Open houses will be up to two (2.5) hours in length, with up to three (3) consultants in attendance.
