PDT Meetings. The Consultant shall coordinate and attend PDT meetings with City staff and stakeholder representatives at interim periodic project milestones, as necessary. Meeting agendas for the planned meeting and summaries/notes from the previous meeting shall be prepared by Consultant for each meeting and distributed to the City’s Project Manager and other attendees. An action item list and a status of project deliverables shall be updated on an ongoing basis and be made available for each PDT meeting and member.
PDT Meetings. The original agreement included bi-weekly meetings with City and monthly with the full Project Development Team (PDT) (three meetings total per month) up to 28 total for the project. We are now meeting a) every other week with city staff, b) every other week with Caltrans Project Management only, and c) every other week with the full Caltrans PDT. The original scope came out to 3 meetings per month; meetings have now increased to 6 per month for the remainder of the contract. In addition, out-of-scope rounds of review and increased management/coordination on multiple deliverables have been required by Caltrans to navigate the project approval process to date. There is also potential for the project schedule to extend beyond the initial assumption of January 2025; however, we are not assuming that the schedule will extend at this time. Increased rounds of Caltrans review beyond the one draft and one final version assumed in our original Agreement have also resulted in additional staff coordination and increased focus meetings. Additional meetings and coordination have also been required to facilitate repeated discussions with Caltrans on the need to complete an EIR for the project and to confirm viability of an environmental approach within the constrained funding timeline. PDT Meetings. MGE will participate in meetings, as necessary, to complete the design tasks and coordinate between technical disciplines. MGE expects the County to organize the PDT meetings, at intervals to be determined, during the project development and design process, and will include the preparation of meeting minutes. MGE expects to have a comment resolution meeting after the County completes their review of each deliverable. This meeting could be either virtual or in person.
PDT Meetings. Prepare for and attend meetings such as: · Project Development Team (PDT) meetings (21 PDT meetings are estimated, at Caltrans’ Oakland office). CONSULTANT will arrange meetings, provide discussion material, and prepare minutes · Planning and design coordination meetings with members of the project team
PDT Meetings. XXXX will facilitate Project Development Team (PDT) meetings with appropriate staff and stakeholders at the County offices as necessary to manage and deliver the project. For purposes of this scope, a total of 6 meetings at the County offices are assumed. KHA has included budget to attend 3 meetings in San Xxxx Obispo in person (12 hours per meeting for preparation, attendance, and travel time), and 3 meetings via telephone (3 hours per meeting for preparation and attendance). XXXX will participate in additional monthly team meetings via telephone to keep the PDT informed of the status of the project. XXXX will prepare meeting agendas and meeting minutes with action items for each meeting. Draft minutes will be circulated for review and comment within 5 business days of the meeting and final minutes will be prepared within 15 business days after the meeting.
PDT Meetings. Xxxx & Peers will help coordinate and facilitate up to three PDT meetings corresponding to the 30%, 90% and 100% PS&E submittal stages.
