Kickoff Meeting. We have left the Downtown Scope substantially as previously described to the DVP, adding the Citywide scope as a separate but related effort. However, we recommend that as part of Task A.1.a and Task B.1.a a single kickoff meeting with City and DVP staff be conducted to discuss how these scopes will proceed on parallel tracks and be coordinated with one another. We are confident that the coordination between STP and City and DVP staff will be quite simple to manage, so are focused on being very clear about community engagement, so here are a few thoughts for discussion prior to executing an agreement and/or during the Project Initiation meetings. Civic Engagement: When we prepared the Downtown Scope, outlined below, at the request of the DVP, we were specifically requested to limit engagement to the DVP. The understanding informing that approach was that in subsequent phases of work – whether led by the DVP or the City and with or without STP’s involvement – broader community engagement would be undertaken. We were asked to limit our scope and fee to exclude that work, and have left those substantially intact in this proposal for clarity. It is quite clear to us that most of the engagement during the Exploration Phase of work – to which the scope of this proposal is limited – community engagement will be limited almost exclusively to stakeholders in the business community. Except that in Task 9, Public Workshop, the draft concepts will be presented to the public for input prior to moving forward with the Execution Phase of work. In coordination with the City and DVP, the Xxxxxxx Team will prepare a community engagement plan for the project. This plan will outline key stakeholders and proposed messaging, along with recommended communications and engagement activities. These may include social media efforts, news/press activity, website content, stakeholder meetings/presentations, workshops, pop-up events, and more. A tentative timeline and responsibility matrix would be included as part of the plan.
Kickoff Meeting. Prime Controls will conduct an in person kick off meeting with the City of Xxxxxx personnel to discuss the scope of work, schedule, and project goals. This meeting provides the opportunity to gather input from City Personnel on existing issues and desired improvements required from the replacement project. A data request memorandum will be submitted to the City team members after the kick off meeting to obtain a prioritized list items to be addressed from this project.
