Section 3.2. Personnel File. 24 District administrative office. Each employee shall have the right, upon request and after making an 25 appointment for that purpose with the Director of Human Resources or Designee to review the contents 26 of his/her District personnel file maintained at the District Office. The review shall be made in the 27 presence of the administrator responsible for safekeeping of these files. During the review employees 28 shall be allowed to copy any material therein and shall be permitted to make a written inventory of 29 material there, and, on request, have such inventory signed and dated by a representative of the 30 administration. 32 No performance related material shall be placed in the employee's personnel file unless said material has 33 been shown to the employee and the employee has been given an opportunity to sign the material, 34 indicating that the employee has received said material. All derogatory material contained in the file 35 shall be removed no later than three (3) years after its placement in the file, upon written request by the 36 employee to human resources office. An employee may attach comments to any material that is a part of 37 the personnel file. 38

  • Personnel File (a) An employee, or the President of the Union (or the President's designate) with the written authority of the employee, shall be entitled to review an employee's personnel file, in the office in which the file is normally kept. The employee or the President, as the case may be, shall give the Employer adequate notice prior to having access to such files.

  • Employee Personnel File A copy of any formal discipline report to be entered on an employee's file will be given to the employee. The employee will be required to sign Management's copy. Such signature will indicate receipt of formal reprimand only. Subject to giving the Employer advance notice, employees shall have access to their personnel file as soon as practicable within seven (7) days of a request.

  • Access to Personnel File Each employee shall have reasonable access to his/her personnel file for the purpose of reviewing any evaluations or formal disciplinary notations contained therein, in the presence of the Director of Personnel or designate. An employee has the right to request copies of any evaluations in this file.

  • Employee Personnel Files 1. There shall be only two files established for maintenance of employee performance and discipline records. The official personnel file, secured at the SPS office and the working building/program file secured at the building/program.

An employee may request and shall receive a copy of any record or document contained in the employee’s personnel file.

  • Confidential Nature of Personnel File All documents within an employee’s personnel file are considered to be confidential and shall remain within the sole jurisdiction and purview of the Employer and employee unless otherwise stipulated in this Agreement.

  • Personnel File Review a. A unit member has the right upon his/her own request to review the contents of his/her personnel file. The review will be conducted in the presence of the administrator, or his/her designee, responsible for the safekeeping of such file. The employee may have a committee person assist in said review. Such review shall be conducted at a mutually agreeable time. A copy of requested material will be provided.

  • Access to Personnel Files All employees shall be allowed access to their personnel files during normal working hours for inspection and/or copies of documents which will be provided by the Employer. Such inspection shall be made subject to prior arrangement with the Employer.
