Information to Association. Upon written request from the Association President or his/her designee, the Board shall make available to the Association information and reports which are prepared for public distribution. Nothing herein shall require the Board and/or the Administration to conduct any research and/or assemble special documents for the Association. In addition, the Board shall provide the Association President with on-line access and/or electronic copies of the tentative and the approved minutes of all Board meetings as soon as they are posted (except minutes of closed meetings which have not been cleared for public display). The Board also agrees to furnish to the Association available information concerning the financial resources of the District.
Information to Association. Upon reasonable request, the Board will provide the Association with available information necessary to permit the Association to develop proposals for negotiations, as well as information necessary to investigate grievances arising out of this Agreement.

The County agrees to provide the Association annually during the month of January, a complete updated listing of the name, classification and department of assignment of all employees designated in the Unit. Upon the request of the Association, the County also agrees to provide on a monthly basis, a copy of the monthly status report which will include that information that is required by law. (Currently includes a list of members, employee identification number, department, classification, hire date and home address (unless such information is otherwise confidential.). In the event of a layoff in classes represented by the Association, the Association shall be provided with a copy of the resulting reemployment list(s).
b. Except in cases of emergency, the County will maintain communication with the Association President and Labor Representative on all actions, within the scope of representation, that impact members thirty (30) days prior to implementation of said action.

Copies of the Board public packet and Agenda for meetings shall be available on the District website.

The Board shall make copies of the minutes of all Board meetings available to the Association on the District website and shall, in response to reasonable written requests, furnish any information which is relevant and necessary for negotiations or the processing of grievances, provided such information is not clearly confidential in nature. The Association agrees to pay the cost of duplicating any such information if extra copies are not available. The Board shall not be required to collect or collate any data or information, nor furnish any requested information more than once.
