EVENT DETAILS. Please review the detailed information outlined above and on any subsequent Facility Use Agreement to assure that this accurately reflects the event requirements. Campus Recreation reserves the right to adjust space(s) based on space utilization and availability. Every effort will be made to notify the Client in advance and to accommodate the Client in alternate location(s).

EVENT DETAILS. This Permit relates to the Event further described as follows: Event: ………………….................................................................................. [Insert details of event, e.g. a Special Stage Car Event and/or Training or Preparatory Session] Location(s): as detailed on the Map forming Part 1 of the Schedule attached hereto (“the Map”); For the avoidance of doubt, the Map shows the permitted routes for the Event and all other areas to be utilised by the Organiser in connection with the Event including: • all car parking and viewing areas (and only those car parking and viewing areas shown on the attached map are permitted under this Permit); • all routes to be used by spectators (and only those spectator routes shown on the attached map are permitted under this Permit); • spectator ‘no-go’ areas; • significant man-made hazards such as overhead power lines and underground services, and significant natural hazards such as bodies of deep water and unfenced drops; • all sites to be used for trade stands, catering outlets, car parks and toilets (and only those sites for trade stands, catering outlets, car parks and toilets shown on the attached map are permitted under this Permit). The Map also shows all Commission authorised recreational facilities (such as car parks, walking paths, bridle paths and cycle routes) and indicates which areas of Commission Land (if any) are closed to the Organiser, participants in the Event and those members of the public given access to the Location by the Organiser (the “Closed Areas”) and the Organiser hereby acknowledges and agrees that access to these areas is not permitted under this Permit. The details on the final banquet event order(s) will be used to invoice the Client. Prices are typically evaluated annually and any changes to rates generally go into effect July 1st of each year. If applicable, the Client will be sent an updated banquet event order(s) with updated pricing. The Client must sign and return the updated banquet event order(s) to continue to hold their reservation. The Client needs to provide preliminary details of their event(s) needs (i.e. room layout, guest count, catering menus, equipment needs, and/or any special needs) no later than 15 business days prior to the event. EVENT DETAILS. The Hirer must provide the Venue and Executive Officer with the following details: - Event program and timetable. - Details of staging and rigging equipment required/used. - Event Emergency Management Plan with contact details of key event personnel. - Details of any further services required from the City of Ballarat. - Details of contractors/caterers or community groups such as Rotary providing food and beverage services including copies of relevant permits obtained. - Copies of marketing materials produced to promote the event. - Official event Media Release for terms of reference. - Copy of the current public liability policy.

The following guidelines apply to all RSO events: • RSOs can reserve rooms for the fall semester beginning on the first Monday of August and for the spring semester, beginning on the first Monday of December. To reserve rooms earlier than these dates, the Client must contact their event planner to start the exception process. • For weekly or monthly meetings, RSOs can book one room one day per week for no longer than two hours. Meetings cannot be scheduled in the Founders Suite. • For dance practices, RSOs can book one room up to two days per week for no longer than two hours. RSO meetings and dance practices cannot be booked back to back.
