Parents’ Meetings. School staff should reach agreement on the number of meetings required on an annual basis. Parents' meetings may take place in the evening or end-on to the school day. Time should be allocated for preparation for these meetings. Preparation time must equal parental contact time which should never be planned to exceed 2.5 hours. Staff should not be required to attend meetings where they do not have specific responsibilities, and they should be free to leave whenever parental appointments are finished.

Parents’ Meetings. Parents’ meetings can be organised either at the end of the pupil day or in the evening. Meetings can be virtual, or in-person and the combination of these approaches should be fully agreed by staff through the Staff Consultative mechanism. This should allow sufficient time and resource being devoted to make these successful. Whilst virtual meetings are an appropriate means of engaging with parents, it is expected that not all parent meetings should take place virtually. Each school will agree an annual programme of parents’ meetings on the basis of the need for good parent/teacher contact on individual pupils’ progress. There should be no more than six meetings for any individual member of staff throughout the school session. Each meeting should be no more than 2.5 hours. The length of any individual teacher’s attendance at any particular meeting will be related to the time required to meet with those parents who have made appointments. Where a teacher’s attendance is not required at a particular parents’ meeting then that teacher will not be required to attend. It is recognised parent contact meetings can be demanding in terms of preparation for individual teachers and headteachers should take cognisance of this in drawing up the Collegiate Calendar. The time allocated for each meeting will require equivalent preparation time to be undertaken by individual teachers. This preparation for parents’ meetings will include time for the completion of records of pupils’ work and reports. Throughout the year parents may seek additional meetings with teaching staff, in particular with members of senior management of a school or with support staff in secondary schools. Recognition of this should be taken in the allocation of time for these staff for each school session.

Up to 5 hours should be allocated to each meeting. This includes preparation time. d. Individual teachers should not be expected to attend parents’ meetings for groups of pupils whom they do not teach. e. When an individual teacher has met all the parents whom he/she is scheduled to meet then the teacher should not be expected to remain at the meeting. f. It is recognised that teachers may arrange to meet parents outside the formal structure of these meetings. This should be planned from remaining time. g. Meetings will be scheduled and once agreed teachers are expected to participate as appropriate.

This may include, for example, looking out pupil work and setting it in order, making notes on each pupil to share with parents and carers, and discussion with colleagues where classes are shared.

Parents’ Meetings. Parents’ meetings may take place in the evening or end-on to the school day, subject to appropriate consultation and agreement. There shall be no fewer than two, and no more than five such formal meetings in the course of the session. Each meeting shall have an allocation of five hours. Current arrangements whereby staff do not require to attend for groups of pupils they do not teach, or are allowed to leave when appointments have been completed, will continue to obtain. The special meeting for island parents at Largs Academy may continue to complement the above arrangements following agreement with relevant staff. In the Primary/Nursery sector, time from other weeks, before or after a planned parents’ meeting, may be borrowed to allow sufficient time for the meeting to take place. This might include any meeting of a group of staff, such as whole school, departmental, stage, cross-curricular or management. Consideration should be given to holding staff meetings, wherever possible, at the end of the pupil day. This approach will facilitate the operation of the proposed “on-call” arrangements and will provide improved teaching and learning conditions for staff and pupils during the pupil day.

Any teacher without appointments should notify his or her line manager. 6.3 When an individual teacher has met all parents whom she/he is scheduled to meet then such a teacher should not be expected to remain at the meeting. 6.4 In considering parents’ meetings as part of a teacher’s working time, time actually spent at the meeting should be increased by a minimum of 50% to take account of the requirement to devote time to prepare for these meetings. 6.5 Additional time to prepare for parents’ evenings if necessary, may also be agreed. 6.6 Time should be planned and made available for non-directed ad hoc consultation which teachers have with parents at short notice and by appointment.

A second structured opportunity for parents to meet with their child’s teacher should be offered, the exact format to be agreed by individual schools. 2.3.1 Individual teachers should not be expected to attend parents’ meetings for pupils whom they do not teach or for whom appointments have not been made. Any teacher without appointments should agree their non attendance at a parents night with their line manager.
