Bid Document Administration – The Engineer shall assist the Owner with preparing an advertisement for bid and coordinate distribution of contract documents for bidding to all bidders and plan houses such as Dodge Report, AGC, etc. It is acknowledged that the Engineer will sell plans to potential bidders and vendors, and that the purchase of plans shall be non- refundable.

Bid Phase Services. Upon receiving authorization from TDOT to receive bids, Xxxxxx-Xxxx will assist the Town with drafting the advertisement for bids and conduct one (1) pre-bid meeting with potential bidders. The Town will be responsible for advertising the bid. Xxxxxx-Xxxx will respond to questions that arise during the bidding process and issue statements of clarification or bid addenda as appropriate. Xxxxxx-Xxxx will be present for the bid opening and meet with the Town following the bid opening to assist with bid review. In addition, Xxxxxx-Xxxx will tabulate the bids received and evaluate the compliance of the bids with the bidding documents and in accordance with TDOT Policy No. 355- 02, Awards of Construction Contracts. Xxxxxx-Xxxx will prepare a written summary of this tabulation and evaluation. Xxxxxx-Xxxx will submit the bid tabulation and other required documentation to TDOT seeking review and approval to award the contract to the lowest responsive bidder.
Bid Phase Services a. Bid Phase Services are assumed to be performed together with the Xxxxxxx, Xxxxxx Drainage Improvements Project. This scope of work is to coordinate efforts as a single bid package.
