Bid Phase. During the bid phase of the Project, Architect shall do all of the following, as well as any incidental services thereto:
Bid Phase. The ARCHITECT/ENGINEER, following the OWNER'S approval of the Construction Documents and the estimate of Construction Costs, will assist the OWNER and CONTRACTOR in obtaining bids or negotiated proposals and in awarding and preparing construction contracts. The ARCHITECT/ENGINEER will be present on the occasion of any pre-bid conference and bid opening for the Project. The ARCHITECT/ENGINEER in coordination with OWNER, will respond to questions from bidders, and will issue addenda.
1. The ARCHITECT/ENGINEER will assist the OWNER with printing and distributing plans and specifications for bidding purposes.
2. The ARCHITECT/ENGINEER will provide to the OWNER a set of electronic reproducible drawings and specifications for the OWNER’S use in printing and distribution.
3. The ARCHITECT/ENGINEER will assist the OWNER in evaluating the project bids and provide a letter evaluating the low responsible bid.
4. In the event that the lowest bona fide bid for the Work is in excess of the estimate of Construction Cost provided by the ARCHITECT/ENGINEER at the completion of the Construction Document Phase, the OWNER may:
a. Give written approval of an increase in the previously approved estimate of Construction Cost; or
b. In conjunction with the ARCHITECT/ENGINEER, evaluate the project at no additional cost to the OWNER, to determine if change orders can be initiated to allow the work to be accomplished within the estimate of the Construction Cost; or
c. Authorize re-bidding or renegotiating of the Project within a reasonable time; or
d. Cooperate with the ARCHITECT/ENGINEER who will revise the Project scope and/or Construction Documents, as directed by the OWNER and at no additional cost to the OWNER, on a timely basis so that bids or proposals may be received within the estimate of Construction Cost at the completion of the Construction Document Phase; or
e. Terminate this Agreement in accordance with Section II, Article 4.4, and compensate the ARCHITECT/ENGINEER for services performed prior to termination, excluding Termination Expenses.
Bid Phase. Furnish and distribute Contract Documents; which shall include preparation of addenda, details and explanatory drawings; the Revit Model for information only; distribution of bid documents to plan rooms as noted in Instructions to Bidders; minutes of meetings; the procuring and analysis of bids; preparation and distribution of the certified Tabulation of Bids; preparation and distribution of the Construction Contract between the Owner and Contractor; and providing instructions and distribution of any other required project documents necessary for the proper execution of this Service of the Work. The Architect shall provide a conforming set of contract documents and the conforming Revit Model to the Contractor and Owner, inclusive of all design changes and bid addendum made from the time the bid documents were issued and the project was awarded. The Architect shall have these documents available to the contractor at the time of the pre-construction meeting. Copies of conforming documents will count against the 25 sets allowed under item C in this section. Also, the architect will post electronically, in PDF format, the conforming drawings and Revit Model to the University’s project SharePoint site.
Bid Phase. Following District’s approval of the construction documents and District’s acceptance of Architect’s final estimate of probable construction costs, Architect shall reproduce the plans, specifications and construction contract documents in the required number and assist District in dissemination of plans, specifications and construction contract documents among interested contractors; in obtaining bids, and in award and preparation of the construction contract and the notice to proceed. Architect shall schedule advertising and bidding sufficiently in advance of the regular meeting of District’s Governing Board to allow time for any bid protest that may arise to be handled in conformance with the approved bid protest procedures.
Bid Phase. The Bid Phase will start after approval by Commissioners Court, VSE will provide bid phase services per the current Mobility Bond Design Manual for the right turn lane improvements. The bid phase services will include the following tasks
a. Attend COUNTY pre-bid meeting, including answering questions and interpreting the drawings and specifications
b. Prepare necessary addenda to address issues or clarifications necessary for the completion of the bidding process
c. Upon completion of final design services, the County will determine an advertisement and bid opening schedule. All administrative project manual documents (cover page, Notice to Bidders, etc.) will be prepared by the County and provided to the design consultant in Adobe Acrobat (pdf) format. The design consultant will prepare a single project manual file in Adobe Acrobat format, consisting of (1) administrative documents, (2) the bid form (prepared by the design consultant), (3) a sealed specification table of contents, and (4) applicable specifications and documents. The design consultant will prepare a single file in Adobe Acrobat format for the entire drawing set. Except for the cover sheet, which contains approval signature(s), all drawings may be printed directly to Adobe Acrobat format with an electronic seal and signature.
d. The design consultant will prepare 27 compact discs, each with one project manual file and one drawing file. Of these, 25 compact discs will be delivered to the County Purchasing Agent for advertising, and two discs will be provided to the County’s project management consultant. Hard copy documents are not required.
e. After the bid, the County’s project management consultant will prepare a bid tabulation and provide a copy to the design consultant for filing.
Bid Phase. The bid phase of the project shall consist of the preparation of the final bid documents, pre-bid meeting, preparation of addenda, preparation of bid tabs, Engineer's estimate into the Bid Tab, and average of the 3 lowest bidders and recommendation of awards.
Bid Phase. 1) Prepare construction bid package to include Notice to Bidders, Instruction and Information to Bidders, Bid Proposal Form, Standard Form of Agreement, Bond Forms, General Conditions, Special Conditions if any, Technical Specifications and Construction Plans, in accordance with County standards.
2) Attend and coordinate pre-bid meeting.
3) Answer Contractor questions and prepare any required addenda.
4) Attend bid opening, tabulate, analyze and review bids for completeness and accuracy.
5) Provide bid tabulation and recommendation of award letter.
Bid Phase. 2.1.9.1 Following District's written approval of the Construction Documents and Final Estimate, Architect/Engineer shall provide one set of reproducible Construction Documents either to District or a designated location or Architect/Engineer shall distribute plans and specifications and maintain bidders’ list as directed by District. Architect shall direct the obtaining of bids and shall assist the District in evaluating and awarding the bids.
2.1.9.2 Architect/Engineer shall conduct a pre-bid walk with potential bidders.
2.1.9.3 If the lowest responsive bid from a responsible bidder on a Project exceeds the Final Estimate by ten percent after adjustment for any change in the Construction Cost Index adopted by the State Allocation Board, District may request Architect/Engineer to revise the final drawings and specifications and to re- bid the Project so that bids are within ten percent of the Final Estimate. In making such changes, Architect/Engineer will exercise Architect's/Engineer’s best judgment in determining the balance between the size of the Project, the type of construction, and the quality of the construction to achieve a satisfactory project within ten percent (10%) of the Final Estimate. At the request of District, Architect/Engineer shall provide specifications that include alternate bids as deemed advisable by District.
Bid Phase. 2.1.9.1 Following Owner's approval of the Construction Documents and Final Estimate, Architect shall provide to Owner one set of reproducible construction documents.
2.1.9.2 If the lowest responsive bid on the Project exceeds the Final Estimate by 10 percent after adjustment for change in the Construction Cost Index adopted by the State Allocation Board, Owner may request that Architect amend the final drawings and specifications to rebid the Project so that bids are within 10 percent of the Final Estimate. At Owner’s request, Architect shall provide specifications which include alternate bids as deemed advisable by Owner.
Bid Phase. A. After acceptance by Owner of the final Drawings and Specifications; Engineer shall:
1. Assist with or prepare applications for permits and approvals, as follows:
a. Prepare the applications for Owner’s submittal to authorities having jurisdiction over the construction or operation of the Project.
b. Fees charged by authorities having jurisdiction for such permits or approvals are the responsibility of Owner.
2. Assist Owner in advertising for and obtaining bids or proposals for the Work; assist Owner in issuing assembled Bid Documents and proposed Construction Contract Documents to prospective contractors.
