Miniature Trains, Petting Zoos, Carnival Rides, Water/splash slides, Water Balloons, Balloon Releases, and Bubble Soccer are NOT permitted at any time. Wish Lanterns are NOT allowed as they pose severe fire risk. Reservations are arranged for a specific period of time, known as arrival/departure time. The arrival time is the time you have requested to begin the reservation. The reservation must end at the departure time previously arranged. Use of the site or facility beyond the hours paid for shall result in the assessment of additional charges. Set up and take down of your rental must be completed in your approved reservation time. All decorations and trash must be picked up, bagged, and deposited in the cans provided. All tables and chairs used must be wiped clean and folded. Failure to complete any of these tasks will result in a partial and/or complete loss of the damage deposit. Cleaning equipment is available on site. Damage Deposits. Damage deposits due at time of scheduling reservation. Damage deposits will be returned within 15 days following your event, subsequent to City Clerk approval, and on the condition the rented facility and/or equipment was left in satisfactory condition and all keys have been returned. Any cleaning that is required after the event will be billed at the present hourly fee and deducted from the deposit.
Damage Deposits. A. Facility rental damage deposits are established by the District. Facility rental damage deposit fees are generally reviewed on an annual basis and adjusted using a comparative fee study. Damage Deposit fees are subject to change without notice. B. All private rental groups using the Facility will be charged a damage deposit, except as authorized in writing by the District. C. The damage deposit is due in full two (2) weeks prior to the date of the event for which the Facility is rented. D. Damage deposits are fully refundable provided the following conditions are met: 1. The rented Facility is left in a clean and orderly manner. 2. The Facility was not damaged as a result of the rental. 3. Use of the Facility did not exceed the scheduled reservation time. 4. All Facility equipment is accounted for and not damaged or broken. 5. Additional staff time was not required as part of the rental. 6. All rules/guidelines governing rental use of the Meadowbrook Farm facilities were met. E. If all conditions are met to the satisfaction of the District, a refund will be processed within four (4) weeks of the event date. If the conditions are not met to the satisfaction of the District, an appropriate fee, as determined in the reasonable discretion of the District, will be deducted from the damage deposit. If necessary, rental groups will be charged to cover any additional costs.
Damage Deposits. The purpose of the damage deposit is to ensure proper clean-up and care of the facility. If the facility is left dirty and/or damaged by the renter, the City shall retain part or all of the deposit. The damage deposit must be made no later than 90 days before the event. If costs to clean and/or repair the facility exceed the amount of the deposit, the renter shall be responsible for additional costs. If the renter fails to pay the additional costs, as requested by the City staff, the renter shall be responsible for all collection costs and/or attorney’s fees. CANCELLATIONS AND REFUNDS Cancellation of a reservation more than 90 days prior to the event will result in a cancellation fee of $50 per room. Cancellation of a reservation more than 14 days but less than 91 days will be charged a cancellation fee equal to the amount of the reservation deposit (but not the damage deposit).

KEY POLICY In order to provide you with a safe and secure environment, students living in Student Housing are required to safeguard their keys at all times. Students have the responsibility to keep their bedroom and apartment doors locked, not to give out keys, and not to prop doors open or allow strangers in. PROCEDURES FOR SAFE-GUARDING KEYS If you find that you have locked yourself out or temporarily misplaced your keys, contact office staff or the Housing Advi- sor on duty who will let you into your room. Don’t make this a habit, you are allowed two “free” entries, after that you may be charged $5 per time. If you have lost or misplaced your keys you will need to come to the office and sign out a new set. You will then have 5 days to find your original set and return the loaner keys to the office. If you cannot produce your original set to the office you will be charged $200 for the new set. Report lost keys immediately. Damage Deposits. Cash damage deposits will be refunded by U.S. Mail within 30 days of departure less any damage or cleaning expenses. Credit card damage deposits are not actually charged unless damage or excessive cleaning is required over the damage deposit.
