Office Administration. The CHA currently leases office space for the Regional Office operations. The CHA also provides these offices with computer and telephone equipment as well as telecommunication connectivity. The Contractor shall be responsible to provide all other office related equipment and supplies to facilitate the services described herein, including but not limited to (i) mail service, (ii) reproduction, projectors, and printing equipment with service, (iii) office supplies, and (iv) furniture such as office chairs, desks, tables, cabinets, credenzas, and boards in accordance with Section 4.06.

Office Administration. The Staff Representative assists the the other Staff Representative in ensuring the smooth and efficient running of the Local Office. This includes, keeping regular office hours to provide service to the membership, administering benefits, and answering emails and phone inquiries. They shall assist with the provision of general information to members about CUPE 3906, including notification of general membership and other meetings, newsletters, and distributing information as requested and approved by supervisors. The Staff Representative shall keep all records in an orderly and accessible manner. The Staff Representative shall also ensure that appropriate office supplies are purchased and available to executive officers, book meeting rooms when required, and assist in travel arrangements for Union business.
Office Administration. Details of the Contractor’s staffed offsite office including telephone and e-mail accounts must be provided, and the Contractor must be readily available and contactable during standard business hours. After hours emergency contact and telephone number must also be provided. Recorded telephone answering services will not be acceptable.

It is understood that the emphasis placed on the tasks in this job descriptions may vary from time to time. The SR shall set priorities in consultation with the Employer’s Representatives on the Labour/Management Committee. The ASR will carry out their duties at the direction of the Employer’s Representatives on the Labour/Management Committee to which they are assigned, as transmitted to them by the Employer’s Representatives on the Labour/Management Committee. The employee shall be informed of the identity of the Employer’s Representatives on the Labour/Management Committee, and of any changes, and shall have the right to refer all other directives or suggestions to the Employer’s Representatives on the Labour/Management Committee for decision. Employees may have voice but no vote in all discussions concerning the Employer’s budgets and financial arrangements. Employees may be excluded from management sessions as defined in Article 6.05.3. It is understood that the duties of the ASR are not the sole responsibility of the ASR, but that members of the local Executive will share the responsibility of performing these duties as provided by the Local by-laws. Unless otherwise directed by Employer’s Representatives on the Labour/Management Committee to which they are assigned, the ASR is free to make day-to-day decisions necessary for carrying the ASR’s duties. The duties of the ASR shall include the items below, and other related duties.

It is understood that it is not the responsibility of the EO to act as the secretary or note taker for any committee of the local.

Office Administration. The Office Administrators shall provide administrative assistance to the Executive Committee, other committees, councils and caucuses of the Employer and to the Staff Representatives. The position shall also entail providing general assistance to the membership by email, phone calls and personal visits to the office. It is understood that the emphasis placed on the tasks in this job description may vary from time to time and priority setting shall be in consultation with the supervisor, the Department Lead Hand and other office administration staff. It is further understood that the tasks included in this job description are not the sole responsibility of the Office Administrators, but that members of the Executive Committee and their designates will share the responsibility for performing these duties as provided by Local Bylaws and this Collective Agreement. The OAs shall have voice but no vote in all discussions related to the Employer’s activities, except for management sessions. Unless otherwise directed, the OA is free to make the normal decisions necessary for the smooth and efficient running of the office.
