Task 1: Project Management. This task will be used by the Project Manager (PM), the Senior Peer Reviewer, and administrative support staff to ensure this project is executed in a technically competent manner, in a timely fashion, and within the proposed budget; to prepare monthly progress reports and invoices; and to maintain communication with the City on overall project schedule and budget. The PM for this project is Xx. Xxxx Xxxxx. In this role, he will be responsible for directing this project’s day-to-day activities. Xx. Xxxxx will be the central point of contact for the City and will have overall authority and responsibility for ERG’s performance on the proposed program. He will be available to City staff on a daily basis to discuss and resolve any issues regarding schedule, cost, or labor commitment. Xx. Xxxxx will be available to consult with the ERG staff and attend meetings where his knowledge and broad technical perspective on air quality issues as related to oil and gas exploration and production will be beneficial. Task 1: Project Management. The City shall be the lead agency for the Project, and the designated City Project Manager will coordinate project management through the Transportation Division of the Community Development Department. However, because this Project will require multi-jurisdictional cooperation with other agencies, the Consultant shall show a demonstrated ability to interface and coordinate with multiple agencies. Other agencies will provide necessary input on project construction including: • City Community Development Department staff (overall project manager) • City Public Works Department staff (permits, City Engineering oversight) • Burbank Water and Power (BWP) staff • Project Design engineering consultant under contract with City (Xxxxxx-Xxxx) • Metro • Caltrans The Consultant shall be expected to interface locally with City staff, other consultants, and other affected agencies as necessary. In order to ensure a timely progression of the project from inception to completion of construction, the following activities should be anticipated once the Notice to Proceed (NTP) is authorized:

Task 1: Project Management. Stantec will conduct a project kick-off meeting for the purpose of discussing scope of services, finalizing project goals, communication protocol, establishing frequency of status meetings and/or periodic status briefings, coordinating field efforts, and various administrative requirements. As part of the kick-off meeting, Stantec will lead a brief field visit to refamiliarize Water Utilities staff and introduce Public Works staff to the site. Stantec will set up, coordinate, and track the progress of the project and submit monthly status updates via email. Items included in the monthly updates may include, summary of project activities, health and safety status, schedule updates, invoices, technical/policy interpretations, and anticipated project goals / challenges. Stantec will coordinate with the City's Project Manager regarding utilities whose existing facilities are located within the Project limits and may be affected by the proposed design. Project management hours also include efforts associated with project team coordination and status calls, invoicing ASSUMPTIONS: • Stantec will apply our standard health and safety plan for fieldwork based on flow conditions and season of work. • Stantec will prepare presentation material (one PowerPoint presentation) as may be requested for kickoff meeting, i.e., PowerPoint slides, graphics, etc. • Stantec assumes four (4) status progress meetings. • Stantec assumes a project duration up to nine (9) months. • City will coordinate project with all franchise utilities and other City departments. • The City will coordinate any conflicts/required relocations with franchise utility companies or other City departments. • All correspondence, communications, and submittals between the Stantec and any utility will be through City Project Manager. • Attendance of utility coordination meetings by Stantec is not included in this scope and may be performed upon request at additional costs. DELIVERABLES: • Stantec will submit up to 4 meeting summaries with action items. • Stantec will provide a baseline project schedule and updates as needed. • Stantec to provide project status updates on a monthly basis.

Task 1: Project Management. The objective of this task is for the Contractor to schedule and attend project kick-off and closeout meetings, and other project-specific meetings that are not part of the coordination meetings covered under Task Order No. 0001. The Contractor shall schedule and attend a project kick-off meeting either remotely or in the Washington, DC area within 10 business days of award, and present the proposed approach at the kick-off meeting. The Contractor shall attend project-specific meetings, as requested by the Task Order Contract Officer’s Representative (TOCOR). The Contractor shall prepare and deliver necessary meeting materials and team meeting summaries, as needed. The Contractor shall schedule and attend a project closeout meeting either remotely or in the Washington, DC area, the last week of the project. The Contractor shall present a summary of work performed under each task, the status of each deliverable, and identify pending or incomplete deliverables, and the total funds expended. To guide the execution of tasks identified in this PWS, the Contractor shall update the Program Management Plan (PMP) and the project schedule that are developed and approved under Task Order No. 0001, within 15 business days of award. The Contractor shall provide monthly status reports to the TOCOR prepared in accordance with the overriding requirements of the ID/IQ Contract to cover the work progress of all tasks described in this scope of work. The development of the updated PMP, schedule and monthly status reports, and revisions based on feedback from the TOCOR and other USDOT representatives shall be conducted as part of Task 1 under Task Order No. 0001. The Contractor shall coordinate with the lead of Task Order No. 0001 to provide the necessary input to Texas A&M University IRB and Pilot sites’ IRBs, as needed, as part of Task Order No. 0001.
Task 1: Project Management. 1.1. A Project Kick-Off meeting will be conducted by CONTRACTOR, including MTO and STATE project staff. Task includes agenda preparation, meeting facilitation, follow-up, and a summary of activities and outcomes from each meeting. This meeting will be held at the STATE District 1 Headquarters in Duluth, MN. CONTRACTOR will provide refreshments and lunches at this meeting as appropriate.
