USE OF CITY FACILITIES. A. The Association may use City facilities, on prior approval, for the purpose of holding meetings to the extent that such facilities can be made available, and to the extent that the use of a facility will not interfere with departmental operations. Participating employees will attend said meetings on their own time.

The Association shall be permitted to use City facilities with prior Management approval for the purpose of holding meetings to the extent that such facilities are available to other organizations and individuals, and to the extent that such use of the facility will not interfere with normal departmental operations. Participating employees will attend said meetings on their own time unless other arrangements are made with management. If the use of a facility normally requires a fee for rental or special set-up, security, and/or cleanup service, the Association will provide or assume the cost of such service(s) or facility.

City employees or the Unit or their representatives may, with the prior approval of the City Manager, be granted use of City facilities during non-work hours for meetings of City employees provided space is available. All such requests shall be in writing and shall state the purpose or purposes of the meeting. The use of City equipment normally used in the conduct of business meetings, such as desks, chairs, and whiteboards, is allowed, but the use of City owned electronic devices such as computers, printers, and copiers is strictly prohibited notwithstanding the presence of such equipment in approved City facilities.

City facilities may be used with the prior approval of Management for the purpose of holding meetings, if such facilities can be made available without disrupting the normal operations of the departments, offices, or bureaus affected. Participating employees will attend such meetings on their own time. The Association will pay such usual and customary fee(s) and/or other charges as are required by the City. Such changes normally cover rental, special set-ups, cleanups, and security services.
USE OF CITY FACILITIES. Union may, with the prior approval of the Municipal Employee Relations Officer, be granted the use of City facilities for Union meetings provided space is available. All such requests shall be in writing and shall state the purpose or purposes of the meeting. The City reserves the right to assess reasonable charges for the use of such facilities. The use of City equipment other than items normally used in the conduct of business meetings, such as desks, chairs, e-mail systems, and blackboards, is strictly prohibited unless prior approval is obtained from the Municipal Employee Relations Officer, the presence of such equipment in approved City facilities notwithstanding.

The Union may, with the prior approval of the Management Team, be granted the use of City meeting room facilities during non-work hours for meetings of City employees provided space is available, and provided further, such meetings are not intended for organizational activities or membership drives of City employees.

With the prior approval of the Area commanding officer, roll call rooms may be made available for League meetings. Participating employees will attend said meetings on their own time except as provided for in Article 2.4.1.
USE OF CITY FACILITIES. The PBA will be permitted to use a meeting room provided and chosen by the City, for PBA meetings scheduled after 5:00 PM, at no cost, as available, providing said arrangements have been made in advance with the appropriate department. Except as provided for in this Article, no employee covered by this Agreement will be permitted, during scheduled work hours, including meal breaks, to attend PBA meetings.
USE OF CITY FACILITIES. The Union shall be allowed to utilize City facilities for regular meetings on the same basis as every other non-City organization. In accordance with the policy, the Union will be allowed to utilize the Xxxxxx employee's lounge for its monthly meetings subject to whatever conditions are imposed upon all other non-City organizations and so long as there is no conflict with City activities or use of that facility. Should the City, in its discretion, have to discontinue the Union's regular use of the Xxxxxx facility, it will notify the Union. The Union will be allowed to utilize the Central Library Staff Room for meetings so long as the Director of Library Services or her/his designee determines there is no conflict with City/Library activities or use of that facility. The Union will be allowed to utilize a recreation facility room selected by the City for meetings so long as the Recreation Program Director or his or her designee determines there is no conflict with City / Recreation activities or use of that facility. The Union shall notify the City in advance of the dates and times of its meetings.
