HOW / WHAT INFORMATION WILL BE SHARED i. The Police will share with the OPCC where all of the following apply: • The sharing would not prejudice ongoing or potential investigations or prosecutions by Sussex Police or other parties. • The sharing would not contradict any legal obligation upon Sussex Police that prohibits or precludes sharing. ii. The OPCC will share with the Police where all of the following apply: • Information will be shared by the OSPCC with Sussex Police where necessary to exercise the PCC’s or Chief Constable’s functions or where necessary for a policing purpose. • The sharing is reasonably required by the OSPCC to assist the PCC in exercising his/her statutory functions. • Both individuals will be responsible for the management of this ISA and ensuring compliance with it. • They will be responsible for the initial revision of this ISA. • Information will be shared by the OSPCC with Sussex Police where necessary to exercise the PCC’s or Chief Constable’s functions or where necessary for a policing purpose. • Information sharing between the OSPCC and the Sussex Police & Crime Panel. • Information sharing between the Chief Constable of Sussex Police and the Sussex Police & Crime Panel. iii. This information will be shared verbally and by secure email.

The Police will share :  A Police custody photograph (if available)  The subject’s name  The subject’s age  Home address (if available for the issuing of banning letters) ii. Any data will only be used for the specific purpose for which it is shared, and recipients will not release information to any third party without obtaining the express written authority of the disclosing partner, including requests from the public, disclosure within judicial proceedings and safeguarding forums. iii. If the incident linked to the ban was reported to the Police then it must be recorded on a Police recognised computer system. iv. The release of a Police photo, name, age and address MUST be in the interests of public safety, to preserve order or to prevent crime and disorder. There should be sufficient grounds to suspect the person’s involvement in the act for which they have been banned. v. The type of incident MUST justify disclosure. For example, violence, theft and public order offences; linked to or targeted the retail premises. vi. The release of Police data shall NOT be limited to persons who have been charged, cautioned or positively disposed of in any other way. The decision to disclose shall be based on all relevant factors in the Police material relating to the incident and to be in the interests of public safety and preventing crime and disorder. vii. The material provided by Hampshire Constabulary MUST be sent to ▇▇▇▇▇ ▇▇▇▇ Shopwatch either by hand or directly onto a secure Shopwatch website. E-mail shall not be used unless there is a secure e-mail link in existence between the parties involved. viii. Where information or a photo about a person under 18 is being considered the threshold for satisfying the above criteria will be much higher and it is anticipated that sharing will only occur in exceptional circumstances. For example: A prolific offender having a significant negative impact; high likelihood of re-offending; sharing is most likely to prevent re-offending; and the disclosure is in the significant public interest. ix. In order to comply with the fairness and transparent principle under Article 5(1)(a) of the GDPR 2018, the subject must be informed of the disclosure of their details to the Shopwatch. Therefore Shopwatch will give written notice of this to the subject. x. HOW / WHAT INFORMATION WILL BE SHARED i. The Police will share:  The full name, date of birth and address of any individual associated with Aldershot Town Football Club who is subject of a football banning order.  The full name, date of birth and address of any individual believed to be ticket touting in relation to any event held at Recreation Ground Stadium.  The details of any individuals believed to be attending Aldershot Town Football Club matches with the intention of committing any offences.  The details of any individual believed to be intending to commit acts of violence, crime, disorder or disruption within the footprint of Recreation Ground Stadium.  Where necessary a photograph of the individual to aid identification of the subject and minimise any intrusion to others. ii. The Aldershot Town Football Club will share:  Information gained that did not necessarily involve an offence but resulted in sanctions being taken by the management against an individual, such as ejection or temporary or permanent bans.  Information that will assist in the planning of events that may necessitate policing operations at a range of scales at Recreation Ground Stadium, its footprint area or spanning adjacent premises or land.  Information that will assist in the planning of Policing Operations not only for fixtures at Aldershot Town FC but also for those fixtures involving the England National Team or other matches played in the UK or abroad.  Information regarding spectators travelling to events at Recreation Ground Stadium that may be used for policing purposes, including but not exclusive to: numbers, modes of transport, companies providing transport etc.  Information regarding incidents of criminal activity, violence, disorder or other form of anti- social behaviour reported to them or otherwise notified if relevant. iii. Information will not be shared where disclosure would prejudice ongoing criminal proceedings unless there is an overriding public safety requirement to do so. iv. No police tactics will be shared with Aldershot Town Football Club under this agreement.

HOW / WHAT INFORMATION WILL BE SHARED. ‌ i. This agreement has been formulated to facilitate the exchange of information between partners. It is, however, incumbent on all partners to recognise that any information shared must be justified on the merits of each case. ii. Where a policing incident is recorded the following information can be shared:  A Police custody photograph (If available)  The subject’s name  The subject’s date of birth or age  Residential address – (When requested, to be held locally by the SoBAC office for the issuing of banning letters)  A modus operandi (if relevant in targeted briefings). iii. Where information or a photo about a person under 18 is being considered the threshold for satisfying the above criteria will be much higher and it is anticipated that sharing will only occur in exceptional circumstances. For example: a prolific offender having a significant negative impact; high likelihood of re-offending; sharing is most likely to prevent re-offending; and the disclosure is in the significant public interest. iv. The material provided by Hampshire Constabulary MUST be sent securely to SoBAC either by hand or directly onto the secure website ‘D.I.S.C’. E-mail shall not be used unless a secure e-mail link such as CJSM exists between the parties involved.

Personal data will be shared by HC to the said organisations to allow them to undertake their specific role within Gateway:  Southampton & University of York Trials Unit – to contact Gateway participants in order to gather their own data, to assess and analyse the impact of Gateway on participants and those allocated to court proceedings. They will also need their:  Participant ID  Name (Southampton only)  Date of randomisation  Randomisation allocation i.e. caution or prosecution (York only)  Disposal location  Date consent form signed  Change of statusContact details (phone number, postal address) (Southampton only)  Appropriate adult consideration, appropriate adult if relevant (Southampton only)  Age  Gender  Ethnicity  Offending History (includes offence committed that triggered involvement in the Gateway study and the number of previous offences: minor/serious)  Date of court appearance  Re-offending data  Court Outcome (sentence type/length such as probation, community refer, detention) for Gateway offence, re-offending or return to court following breach  Frequency of meetings with Navigator for Gateway participants (Southampton only)  Number, name and type of referrals from Navigator for Gateway participants (Southampton only)  Number of hours of engagement at referral agencies for Gateway participants (Southampton only) Survey Gismo reports to include details of all entries, number entered, at which point found ineligible (York only). ii. The Police will share:  Sanitised details relating to stop checks  Sanitised details relating to arrests and the results of arrests  Reports of incidents  UK Airport Intelligence Forum (UKAIF) information  National Police Aviation Security information ii. Southampton International Airport may share:  Names, addresses, images, modus operandi, vehicles used or associated with suspects in relation to the commission of crime and disorder.  Details of persons ejected from the site  Potential and actual security breaches (depersonalised data)  Aviation Security information released by the Department for Transport (DfT) iii. The information will be shared verbally at regular security meetings and will provide an overall update on crime statistics to assist in a review of security measures. The information will only be shared verbally and there will be no transfer of police documents.
HOW / WHAT INFORMATION WILL BE SHARED. This agreement has been formulated to facilitate the exchange of information between partners. It is, however, incumbent on all partners to recognise that any information shared must be justified on the merits of each case. To prevent irrelevant or excessive information being disclosed, the type of information that may be shared with HANTSAR under the terms of this agreement can consist of:  Subject name;  Subject address and contact details;  Subject date of birth;  Relevant physical and mental conditions or symptoms;  Last known location; and  Other relevant information. Hampshire Constabulary will retain control of each missing person search operation. They will provide a PolSA or team leader to the search who will be the Single Point of Contact (SPoC) between the two organisations for the duration of the search. Hampshire Constabulary will nominate a rendezvous point for HANTSAR volunteers to meet where they will be briefed by the PolSA or team leader. Any information, where appropriate, which will assist in locating the missing person will be communicated to HANTSAR as soon as it is received by the PolSA, by means of either telephone or face to face communication. Police information supplied will be stored on the HANTSAR database in line with their retention and deletion policy. All team notes with police data are shredded or returned to PolSA at the end of the search. HANTSAR laptops are password protected. All instances of sharing will documented as per force policy.

The Constabulary will share :  De-personalised information relating to crime or anti-social behaviour.  Personalised information pertinent to agreed joint case management and joint action plans, applications for injunctions of crime.  Evidence in the form of complaints from the public relating to crime or Anti-social behaviour.  Intelligence gathered from specific case management, action plan delivery and engagement with the community.  The Name, Date of Birth and address of offender(s) causing crime or anti -social behaviour if partnership working will assist in the intervention or prevention of crime, disorder, anti -social Behaviour. ii. In the majority of cases full copies of incidents logs generated from the constabulary “Command and Control” system will not be disclosed, but the basic details of police attendance can be provided. iii. Information will not be shared where disclosure would prejudice ongoing criminal proceedings unless there is an overriding public safety requirement to do so. iv. Hampshire Constabulary can share where necessary and proportionate to meet the policing purpose. v. No police tactics will be shared under this agreement. vi. The Disclosure of Photographs vii. To prevent irrelevant or excessive information being disclosed, the type of information that may be shared by Hampshire Constabulary under the terms of this agreement may consist of any information the organisations can justify as necessary and proportionate to target and reduce crime and disorder; such as:  Information relating to individuals involved in anti-social behaviour (ASB), including names, age, relevant Record Management System (RMS) warning markers and any relevant ASB hotspots or activities,  Information available on SafetyNet,  Information relating to vulnerable people, such as names, age, relevant RMS warning markers and the reason for vulnerability,  Information relating to stolen vehicles,  Information supplied in the daily briefings (unless evaluated as not suitable for sharing with partners agencies).  Custody photos (where relevant and necessary) ii. Should the police become aware of any specific information that would lead to concern over personal safety for the CSAS accredited person they will endeavour to inform all relevant parties accordingly. iii. Information will generally be shared between partners via SafetyNet, face to face at the monthly Vulnerability Group meeting, the priority setting meeting (TPM) or secure email. If information is required more immediately, it can be shared on an adhoc face to face basis. iv. Due to the nature of the sharing, the transfer of data will not take place between SPoCs. Data exchange shall be between individual Officers. v. The Disclosure of Photographs vi.
