Tree Inventory. The Proposer shall become familiar with the landscape locations that will be inventoried. The City will provide maps of the locations and staff will be available to facilitate the Arboricultural Services contract. All attribute information collected is to be submitted to the City as a Database Table or Excel Spreadsheet, GIS format. The following amendment includes providing additional tree inventory data and software access for the Parks and Open Space Management Plan Project per the Washington Department of Natural Resources Grant requirements and in alignment with the primary contract between GreenWorks and the City of Camas. The following tasks are included within this amendment: Task A1.3: Team Coordination Management, Coordination, and Review – Additional time for Greenworks to provide coordination, attend meetings, and review draft and final deliverables to ensure alignment with grant and contract requirements. Task A5.5: Additional Tree Inventory Tree Inventory - Inventory and Assessment of 7500 of Camas' trees. Includes travel, per-diem, and all overhead costs as well as a level 2 risk assessment. This will cover trees in the public Right of Way and trail trees above 8" in diameter within 1x of the trail. If all of these trees do not total 7500, then the team will work with the City of Camas to identify HOA partners to inventory trees on private land until the total is reached. For projects where right-of-way or easements are expected to have adverse impact or require removal of the trees of three (3) inches or greater as measured at Diameter at Breast Height (DBH), a tree survey will be conducted in accordance with current DEPARTMENT policies and D&E-18. • Trees will be tagged, surveyed, identified, and evaluated for condition and form (tagging identification, evaluation by a state certified arborist). • The trees will be shown on the plans. • The data will be in table format and the headings include tree species, size (DBH), station, offset, health, structure, impact status, and suitability for preservation. Task 3 – Utility Identification and Coordination Utility Investigation. Pertinent utility information will be collected for the project area to locate utilities that may affect design or construction of the project for each intersection. ▪ A Joint Utility Locating Information for Excavators (XXXXX) Design Stage Request for buried facilities will be submitted. ▪ Prepare and send utility notification letters per LPA template to identify utility companies. ▪ Information provided by utility companies will be reviewed and incorporated into the base mapping. Compare facilities in relation to the proposed improvement for potential conflicts. Compile and summarize available utility information in a spreadsheet per the formatting requirements for Phase II utility documentation. ▪ Identify and locate utility easements from Task 2 in the base utility mapping. ▪ Identify the type and conditions of any utility easements within the project limits. ▪ Follow up letters per LPA template with preliminary plan sheets showing potential conflicts will be sent to utility companies. ▪ Electronic copies of all information received or provided to the utility companies will be sent to the LPA for their records. GPS Tree Inventory The Contractor shall create a GPS tree inventory using the City’s standardized addressing system for all parks and open space areas. This includes but is not limited to all publicly owned trees on street right-of-ways, parks, City facilities and open spaces such as medians, greenscapes, etc. The Contractor shall be required to create an ESRI ArcView/ArcGIS compatible "shape file". The new inventory shall be capable of showing the location of every existing tree site and vacancies on the City's existing GIS base maps (streets, parcels, addresses, ROW and hardscapes, etc.) Minimum accuracy shall be not more than one (1) meter. The Contractor will manage the entire inventory project and will not use subcontractors. The project shall include field data collection, data entry, access to the computer software, and training of City employees on the use of the system, future technical maintenance and support and as an option, conversion of the existing database. The Contractor shall provide routine maintenance, archive, backup, restore and disaster recovery procedures as may be requested by the City. The Contractor shall provide complete support with experienced staff available to the City during the hours of 7:00 A.M. to 5:00 P.M. Monday through Friday. The Contractor shall be readily available by telephone, e-mail or may respond to the City’s location within a timely manner. Tree Inventory. The existing tree inventory was completed with the Phase I work. This inventory had omissions and did not cover all areas within the project limits. The Village of Algonquin required a complete tree inventory for the project in order to comply with Village Ordinance for a Tree Preservation Plan. This required a substantial amount of additional field work to properly inventory all areas within the grading limits of the project. With this, a tree removal plan was prepared for review by the Village. This will require additional coordination with the Village to develop the final preservation plan and complete contract documents. Xxxxxxxx Land Design will assist in completing this work. Realignment of Huntington Drive Since the Final Design Report project geometrics were completed, the Village of Algonquin completed a reconstruction of Huntington Drive. This reconstruction was completed on a new alignment. Because of this, Huntington Drive needed to be resurveyed and the proposed geometrics were required to be reworked. Xxxxxxxxx Associates completed the resurvey of this area. In addition, the Village’s improvement included the construction of additional block retaining walls on the west side of Huntington Drive. This will require additional design work to properly tie into the existing walls and in some cases, rebuild the walls due to the new roadway profile. This also affects the tie in of Legion Drive to Huntington Drive.
