Personnel File Access. An employee, or President of the Union, or their designate, in the presence of the employee, shall be entitled to review the employee's personnel file. The employee or the President of the Union, or their designate, as the case may be, shall give the Commission 24 hour notice prior to having access to such files.
Personnel File Access. Each six (6) months, upon their request, employees may have access to their personnel file in the presence of their department manager.
Personnel File Access. (a) By appointment made at least one (1) working day in advance, an Employee may view their personnel file in the Human Resource Office once each year or when the Employee has filed a grievance. An Employee may be accompanied by a Union representative when viewing their personnel file. The Union Representative and the Employee are not to alter the contents of the personnel file or remove anything from it.
(b) An Employee shall be given a copy of the contents of their personnel file upon request, not more frequently than once in a calendar year, or when the Employee has filed a grievance, provided that they first pay to the Employer a reasonable fee, established by the Employer to cover the cost of copying.
(c) In the case of a grievance, the fee prescribed shall be waived where the Employee requests a copy of material related to the grievance.
Personnel File Access. The employee shall have access to his/her personnel file with adequate notice to the Human Resources Department. An employee may request a copy of any item within his/her personnel file that was signed by the employee. The copies are to be made by the Human Resources staff and not by the requesting employee. In addition, employees have the right to attach a written response to any document in their personnel file. Parties to this Agreement recognize the confidential nature of the employees' personnel file(s). The City agrees to limit access to an employee's personnel file to regular employees, who by their position have a legitimate reason to review said files. An employee may petition to have a written reprimand removed from his/her personnel file after two (2) years, and may petition to have a suspension of less than five (5) work days removed after five (5) years. The City shall only consider removing the written reprimand and/or the suspension of less than five (5) work days if the disciplinary action had been noted in the employee’s performance evaluation. Also, the City shall consider the removal of these disciplinary actions only if no subsequent disciplinary action has been taken against the employee since the date of the original action. However, removal of a disciplinary action from an employee’s personnel file shall not bar the City from citing such action as evidence in any future disciplinary actions against the employee.
Personnel File Access. 10.9.1. Access to a unit member’s personnel file will be limited to a “need to know” basis. Access authorization must be obtained from either the Superintendent or the Assistant Superintendent. The contents of all personnel files will be kept in strictest confidence. The District will keep a log indicating the persons who have made requests to examine each personnel file, as well as the dates such requests were made. Such logs will be available for examination by the unit member or her/his authorized Association representative.
10.9.2. Materials in the personnel file of a unit member, except as noted below, will be made available for inspection by the unit member and copies of materials will be provided upon request. Upon authorization by the unit member, an Association representative may review the unit member’s file or accompany the unit member in his/her review of the file. Materials which may be excluded from inspection will be limited to ratings, reports, or records which:
10.9.2.1. were obtained prior to the employment of the unit member involved
10.9.2.2. were prepared by identifiable examination committee members, or;
10.9.2.3. were obtained in connection with a promotional examination.
Personnel File Access. Each Nurse is entitled to have access to the Nurse’s personnel file during normal business hours. In such case the Nurse shall make an appointment with the Employer. The Nurse shall have the right to make a copy of materials on the Nurse’s personnel file, except that references or appraisals from outside the Employer may not be shown to the Nurse.
Personnel File Access. Use of or access to an individual Employee’s Personnel file shall be restricted to the Employee, their representative as authorized above, the Employee’s supervisory chain and the Library Human Resources Director or other Human Resources personnel responsible for the maintenance of the file. The Employee’s Personnel files will be kept in a confidential manner.
Personnel File Access. PSJCC shall provide Registered Nurses access to their personnel files by appointment, subject to the deletion of third party reference material. Such files will be made available within a reasonable period of time and will be reviewed by the Registered Nurse with a representative of the Human Resources Department or the department manager or designee in attendance. Registered Nurses will be permitted to prepare a written rebuttal to materials to be placed in their Personnel File.
Personnel File Access. The Company agrees that an employee will have access to his or her personnel file (at a mutually agreeable time) and have access to the grievance and arbitration provisions of this Agreement to dispute any entries on the file related to workplace performance or discipline. Employees will be given copies of any entries confirming a verbal warning given or copies of any written warnings. An employee covered by this Agreement shall have the right to refuse to cross a legal picket line in connection with a labour dispute. Failure to cross a legal picket line shall not be considered grounds for disciplinary actions or otherwise be a violation of this Agreement.
Personnel File Access. Employees within the bargaining unit will have the right, upon request, to review the contents of their personnel file. The employee shall have the right to submit a statement concerning any material in his file. Such statement shall become part of his personnel file.
