Recording of information. (a) The Parties must record in Item 2 of Schedule 3 any technical information that User was required to provide to ADEWAP under the User Access Guide. (b) Each Party must record any other information required to be recorded in this Agreement by the PN Rules or the PHT Rules within a database maintained by that Party, and provide the other Parties with reasonable access to the information upon request by that Party.

Recording of information. All information relating to the production of school meals will be recorded by the Council’s kitchen staff via the agreed information management system and supplied to the School Meals Management Team for further overview and scrutiny. Schools are required to record all information relating to pupils eligible for benefits-related Free School Meals and Universal Infant Free School Meals and supply this information as part of the school census collection in October and January. The School Meals Management Team will support the promotion of this scheme by attending opening evenings and other events and by speaking to parents about the benefits of the programme. To support forward planning, the school must share the following information with school kitchens / School Meals Management Team so that staff can be deployed appropriately to produce the volume of meals required: • The names and special dietary requirements of all pupils with food intolerances, allergies, medical needs and religious preferences. • The number of infant pupils, year groups and names of each opted into the UIFSM scheme. • The number of juniors pupils, year groups and name of each entitled to benefits related FSM. On a daily basis schools must provide school kitchens with the following information in advance of service: • The number of pupils meals required per year group • The meal choices (where the pre-ordering system is in effect) • Any other relevant information in relation to the number / choices of meals required that day. • The names of children with dietary requirements who require a meal This information will be used to deploy the right number of staff and produce the right volume of food in accordance with the demand and needs of pupils.

Recording of information. Every record entered on Sentinel is authored and date-stamped, and each incident has an identified lead officer. The lead officer is likely to be one of the operational users of Sentinel (see Section 3.5) and will be responsible for co-ordinating the investigation into the reported anti-social behaviour incident and, once that investigation is concluded, for recommending to the relevant enhanced user (see Section 3.5) that the case is closed. Any updates and amendments to Sentinel records are also authored and date- stamped. The Sentinel system creates an audit log of reports generated through the search function and the printing and exporting of search results. As a safeguard against improper use of the system by all partners, monitoring of use will be undertaken by the Project Officer once appointed. Notwithstanding this, partners retain the authority to audit their own organisation’s use of the Sentinel system to safeguard against improper use. Any disclosures of information held on the Sentinel system except as set out in this Agreement will be recorded by the administrator at the organisation concerned along with details of the justification for that disclosure. The Leicester, Leicestershire and Rutland (LLR) ASB Strategy Group will receive reports on all such disclosures so that any patterns or trends can be identified. The reports will include details of the volume of and reasons for disclosures. Once appointed, the Project Officer will also monitor any such disclosures which fall outside of the remit of this agreement.

Recording of information. Each Partner to this Agreement is required to keep a record of the information shared under this agreement along with details of the request, whom it has been disclosed to, data disclosed and justification for sharing. For Leicestershire Police the recording of information will be in accordance with the Statutory Code for the Management of Police Information (MOPI), this should be on the nominal record or the crime record as appropriate. For University of Leicester the recording of information will be in accordance with its policies and procedures.
