Use of Meeting Rooms. 1. All meetings and programs must be free and open to the public, and therefore are not designed to accommodate educational training sessions for a group’s staff or membership. Items may not be sold at meetings. For Friends of the Library exception see Programming Policy. Library staff are permitted to monitor meetings at any time. 2. Users of library meeting rooms will ensure that all programs, services and activities are accessible to, and useable by, persons with disabilities in accordance with the Americans with Disabilities Act, including, but not limited to, equal opportunity to participate and benefit, equally effective communication for persons with speech, hearing and other impairments, integrated seating and the provision of reasonable modifications and/or accommodations and shall adhere to the City Manager’s Policy 4.3 – ADA Public Communications Policy. 3. Groups are advised to provide at least 48 hour notice to reserve a room. In the event of a meeting cancellation, the group organizer must notify the library as soon as possible but not later than 24 hours in advance of the scheduled meeting. This will allow other groups the opportunity to use the space. 4. The maximum capacity for all rooms is due to City Fire Code and must be strictly enforced. 5. Food and open containers of beverages are not allowed in the meeting rooms. Bottled drinks and cups with lids are allowed. Only Library/Friends of the Library programs are exempt from this rule. No alcoholic beverages are allowed on City property. 6. Due to limited space, groups can reserve a room no more than twice a month and no more than three months in advance. 7. Groups must request additional equipment (projector, screen, podium, etc.) when making the reservation. Items not requested during the reservation process may not be available at the scheduled meeting time. 8. Room set up is not provided by library staff. 9. Only library staff has permission to change the settings of projectors or the sound system. 10. The library does not provide office supplies, telephone service, copier services, or computers to groups using the meeting rooms. There are coin-operated copy machines, a pay phone, and free wireless internet access located in the library. 11. The library cannot provide personnel or resources to advertise, greet, and direct meeting attendees, or assist in handling exhibits and other materials needed by groups using the meeting rooms. 12. Use of Meeting Rooms. It shall be the responsibility of the user to be familiar with this policy and to adhere to its contents.  The user shall be held financially responsible for property damage or loss caused by the user, including the user’s members, guests and participants.  Libraries shall manage the fees collected and keep appropriate records for audit purposes. Such records will document the name of the library and the meeting room user, as well as the nature of the event and fees charged.
Use of Meeting Rooms. The use of any of the meeting rooms is subject to the terms written within this agreement. The use of any of the meeting rooms is also subject to all governmental laws, ordinances, regulations, and all BMCC rules. BMCC rules include but are not limited to: a. No Alcohol, controlled substances, or electronic cigarette use is permitted on or about the premises. b. No admission fees may be charged or collected. c. Highly flammable items such as candles, food warmers, etc. are prohibited. d. Absolutely NO gambling or solicitation in any regard is permitted. e. The main entrance will be the only entrance permitted for use. f. Children may use or occupy meeting rooms only if they are properly supervised by an adult. Children without proper adult supervision will not be allowed usage of the meeting rooms. Children are not allowed to roam the halls of the college at free will. g. The occupant must supply and bring their own food and beverages, disposable dishes, cutlery, cups, and napkins, etc. h. The refrigerator, stove, microwave oven and other appliances may be used to cool or heat food, but not for extensive beforehand preparations. All appliances must be left in good, clean working order. i. Cleaning the kitchen and the meeting rooms is the responsibility of the occupant after use. All dishes, utensils, and appliances must be washed and cleaned accordingly. j. The Kitchen and Meeting Room must be left in neat, clean order. k. Any and all Garbage or debris should be removed and taken to the college dumpster located in the back corner of the parking lot. l. Groups are confined to the rooms that are approved for use. Roaming the building, hallways, or going through offices is not permitted. m. BMCC will not assume responsibility or liability for personal property and/or equipment brought onto or left within the property grounds.

  • Notice of Meetings Notice of all meetings of the Preferred Securityholders, stating the time, place and purpose of the meeting, shall be given by the Property Trustee pursuant to Section 10.8 to each Preferred Securityholder of record, at his registered address, at least 15 days and not more than 90 days before the meeting.
