Official Personnel Folders. 91 Each Employee shall have the right, upon request, to examine the content of her/his own Official Personnel Xxxxxx(s), the only exclusion being confidential pre-employment credentials of an evaluative nature.
Official Personnel Folders. A. The Department shall maintain the Official Personnel Folder of each unit employee, on behalf of the Office of Personnel Man- agement in the appropriate Regional-OASAM or at the National Office. Official Personnel Folders are subject to the Privacy Act and Freedom of Information Act.
B. Material placed in the employee’s Official Personnel Folder, as allowed by applicable law, rule, or regulation may be discussed with the employee. The employee will receive an automatic e- mail notice when electronic personnel actions are added to their Official Personnel Folder.
C. Unfavorable material placed in an employee’s Official Personnel Folder shall be discussed with the employee to the extent dis- closure of the material is required under applicable law, rule, or regulation.
D. Employees shall be advised of the length of time the Department intends to maintain unfavorable material in the Official Personnel Folder. If the Department reduces the time in which it maintains such material in the Official Personnel Folder, the employee shall be so notified.

PROCEDURE -177 The employee shall make an appointment with the responsible managerial personnel to examine her/his Officia l Personnel Xxxxxx(s). Managerial personnel shall be present when the employee examines her/his Official Personnel Xxxxxx(s) and the employee may be accompanied by a representative of the Association if the employee so desires. The employee may designate in writing her/his desire to have a representative of the Association examine her/his file in her/his absence in a disciplinary matter, and the designated representative shall be allowed to examine the Official Personnel Xxxxxx(s).
Official Personnel Folders. Official Personnel Folders (OPF) will be maintained in accordance with applicable laws and regulations. Only information authorized by law or regulation will be maintained in the OPF.
Official Personnel Folders. The EMPLOYER agrees to make the employee’s Official Personnel Folder (OPF) available for review upon reasonable request of the employee. The OPF's will normally be made available on an annual basis upon request of the employee. Such review will normally be made during the time an employee is in a work status, at no charge to leave or loss of pay. The release of information from the folder will be as set forth in the Privacy Act and other applicable laws and regulations.
Official Personnel Folders. A. Each employee and/or designated representative who has been so authorized in writing by the employee, and when not contrary to law to which the Library is subject, has the right upon request to review or photocopy his/her OPF. The Library will delete third-party names from all Personnel Action Recommendations (PARs). Those PARs dated prior to August 21, 1978, which contain names of third parties will not be available to the employee or his/her representative.
B. An officially authorized person may inspect such records and files only after signing in advance of inspection a record indicating his/her name, organization and office, and the reasons for the inspection. This record shall be maintained as part of the file and shall be available at all times for inspection by the employee and/or his/her representative. The management officials designated to be responsible for the file, and clerks in Human Resources Services who must use the file in the course of their work, are exempt from signing this record. No record or document in an employee's file will be made available to any unauthorized persons for inspection, review, copy, or photoduplication. Such information will be made available to authorized persons not employed by the Library only for official use as provided in the Federal Personnel Manual (FPM).
C. The Employment Office will maintain certain designated core hours during which employees may review their OPFs on request. The Employment Office may, if unusual circumstances so dictate, require the employee or his/her representative to make an appointment to review the employee's OPF during times other than those designated above.
D. The review or photocopying of the OPF shall take place only in the presence of an official having custody of the OPF. Each employee shall be entitled to photocopy material from his/her OPF once a year without cost. Thereafter, the photocopying of OPFs shall be at cost to the employee. A staff member of the Employment Office shall control the photocopying of documents from the OPF.
E. It is agreed that any record in the OPF which has not been disclosed to the employee cannot be used as a basis for a disciplinary action.
F. The OPFs shall contain only those records permitted by the Office of Personnel Management (OPM) and personnel forms prescribed for use by the Library, provided, however, employees have the right to update their OPFs with relevant information regarding experience, education, training, etc. which might ...

Official Personnel Folders. All employees, and/or their duly authorized representatives, shall have a reasonable opportunity to review the contents of their own official personnel folders, and to be furnished a copy of documents therein.
Official Personnel Folders. SECTION 1. Employees, and/or their duly authorized representatives, shall have a reasonable opportunity to review the contents of their Electronic Official Personnel Folders (E-OPF) via internet access, while in a duty status. Reasonable use of Government supplies will be authorized for an employee to print hard copies of the E-OPF’s contents, as needed.
SECTION 2. Information contained in the E-OPF is subject to the Privacy Act. Only duly authorized personnel, on official Government business, shall have access to an employee’s E- OPF.
Official Personnel Folders. Official Personnel Folders (OPF) (to includeeOPF) and Employee Medical Files (EMF) will be maintained in accordance with applicable laws and regulations. Only information authorized by law or regulation will be maintained in the OPF and EMF.
1. The Union recognizes the Agency has converted to an electronic OPF (eOPF) system, and electronic folders have replaced paper-based folders covering employees' personnel records. Under the eOPF system, employees may access their personnel records at any time through a secure internet site. Agency will provide access to eOPF for each employee.
2. An employee may request, through their servicing Human Resources Office, that a record contained in his/her eOPF be corrected or amended. Such requests must be accompanied with supporting documentation.
3. The employee shall have the right to prepare and file in the eOPF a concise statement of disagreement with any reprimand within two weeks of the effective date of the action. When the document for which the employee files a statement of disagreement is removed from the eOPF, the statement of disagreement will also be removed. Nothing in this Article shall negate the employee's right to grieve any matter. The filing of a statement of disagreement does not stop or extend the time frame for filing a grievance or other complaint.
