Meetings and Presentations. The Design Professional shall attend meetings, take appropriate minutes, distribute minutes to Owner, attendees and interested parties, and otherwise explain its work product as may be necessary to its implementation.

Periodically during the initial phases of Schematic Design and Design Development, the Design Professional shall schedule meetings and presentations with the Owner and Using Agency to describe the work in progress, address questions and prepare for Owner/Using Agency approvals. The Design Professional shall take appropriate minutes and distribute them to the Owner, attendees, and other interested parties. After engagement of the CM/GC, the Design Professional will continue to schedule meetings with the Owner and Using Agency for the purpose of completing and securing approval of the Construction Documents. The CM/GC shall also be invited to all such design review meetings. The Design Professional shall also schedule design coordination meetings directly with the CM/GC for the purpose of collaborating and coordinating the development of Component Construction Documents, GMP Change Order Documents, final design and the Overall Project Schedule.

Meetings and Presentations. At any time during the duration of this Agreement, upon the Owner’s request, the Construction Manager shall assist and support the Owner, at no additional charge to the Owner, in preparing for and attending meetings and presentations related to the Work.

Purchaser shall be entitled to reasonable prior written notice of and to attend (accompanied by Purchaser Associates): (a) all formal program-specific meetings; and (b) reviews required in Exhibit A, Statement of Work. In addition, Contractor and Purchaser shall mutually agree on which informal program-specific meetings to which Purchaser (accompanied by Purchaser Associates) will be invited to attend. Copies of presentations or other documents utilized during these meetings shall be furnished or made available to Purchaser and Purchaser Associates. Purchaser’s management personnel and Purchaser Associates, as may be deemed appropriate by Purchaser, shall be invited to the Quarterly Reviews. Contractor shall be represented by its Program Manager and such other personnel as are required to support the particular presentation. Contractor shall provide to Purchaser, upon request, copies of all documentation utilized during and/or a summary of informal program-specific meetings of a material nature for which Contractor cannot provide prior notice and where Purchaser’s or Purchaser Associates’ personnel are not otherwise aware.

During the performance of this Contract, Seller shall conduct Quarterly Summary Executive Reviews at which Seller shall provide a review of the milestones completed subsequent to the preceding quarterly review, status of the upcoming milestone and such other matters as may be mutually agreed upon by the parties. The parties may mutually agree to conduct additional interim meetings or reviews from time to time such as a monthly Program Manager's Review with a mutually acceptable agenda. Buyer shall determine its appropriate management personnel to attend such meetings. Seller shall be represented by its General Manager or a designee thereof and such other personnel as are specifically required to support the particular presentation. All periodic meetings shall be held at Seller's facility.

Led by the DEPARTMENT Project Manager, the CONSULTANT will attend the Notice to Proceed Meeting, where DEPARTMENT representatives will outline relevant contract and Project information provided by the DEPARTMENT Project Manager. The CONSULTANT shall attend meetings necessary to undertake the activities of this Scope of Services. This includes meetings with DEPARTMENT staff and /or resources agency staff, other consultants, or other miscellaneous meetings. The Consultant and its subcontractors, when directed by the Local Entity, will attend and make appropriate presentations at meetings conducted for the purpose of discussing with the public or local, State and Federal officials the effect and objectives of the proposed project or other matters pertaining to the Project. Costs for professional services for the development of each annual report are estimated to be approximately $40,000 per subbasin, on the basis of time in accordance with the M&A’s 2022 fee schedule (attached). Work will be invoiced monthly on the basis of time and reimbursable expenses expended. If the actual scope of work varies from the described scope of work, actual costs will differ accordingly. However, the total estimated costs of $40,000 for each annual report will not be exceeded without your prior written authorization. Estimated costs are summarized in Table 1. Work on annual reports typically begins in December. The majority of this work is completed in January and February. Internal and external review are conducted in March in order to meet the April 1 submittal deadline. Presentations typically take place in April or May. Some work must be conducted at other times of the year based on when data becomes available and needs to be submitted to the DWR SGMA monitoring module. These budgets include that additional data submittal.
